Resume Format Malaysia: Free Template, Samples and the Singapore Version

A standard resume Malaysia employers expect runs two pages, carries a photo and personal details, lists SPM results and CGPA out of 4.00, and names two referees at the end. A resume for Singapore needs the IC number gone and your pass status added instead. This page gives you both versions and tells you exactly which fields to delete for each. Qarera's free resume template Malaysia files parse cleanly through JobStreet, Hiredly and Maukerja and through Workday and SuccessFactors.

The short answer

The standard resume format Malaysia recruiters expect is a two-page, single-column document in this order: contact details, personal details, a career objective, education with SPM results and CGPA out of 4.00, work experience or internship, co-curricular activities, skills, languages, and two named referees. A photo is expected on a domestic application. One page with no photo is right for the technology sector and the multinational hubs, which have adopted the international resume.

The same document goes by several names. A resume template Malaysia employers recognise, a CV template Malaysia applicants download, a curriculum vitae format Malaysia, a malaysia cv format, a malaysia cv template - they all describe this structure. In Malaysia “resume” and “CV” are used interchangeably for the same two-page document, unlike in the UK or the US where the words mean different things: a CV in Malaysia is the same file as a resume, and a curriculum vitae in Malaysia is not the long academic document the term means in Britain. A curriculum vitae sample Malaysia employers would recognise is exactly the structure above. If you are looking for a resume sample Malaysia recruiters would recognise, a cv sample malaysia to work from, a cv example malaysia, an example cv malaysia, or a resume sample malaysia pdf you can open on a phone, this is the shape it should take. The Word file and the resume format malaysia pdf below are the same document in two formats.

You will also see these written with the qualifier after the noun, the way Malay orders it - resume simple Malaysia, resume kreatif Malaysia, cv Malaysia template, template cv Malaysia. They are not different documents. A simple resume Malaysia layout, a simple resume format Malaysia and a simple resume template Malaysia all mean the same clean single-column page; “kreatif” means a lightly styled version for creative roles. The same happens with the word free: a resume template free Malaysia search and a free resume template Malaysia search are looking for the same file. All of them should carry the same fields, and only the styling changes.

An ATS resume Malaysia applicants can rely on is defined by one requirement: single column, no tables, no text boxes, no images behind text. That is what decides whether JobStreet, Hiredly, Maukerja, Workday or SuccessFactors can read the file at all, and it matters far more than which style you pick. It is also why a good resume Malaysia recruiters shortlist usually looks plainer than the design-site templates people expect: the best resume Malaysia applicants can send is rarely the prettiest one, and the clearest example of good resume Malaysia practice is a plain, single-column, two-page file that every parser can read.

Four local fields decide whether the document reads as Malaysian: SPM results with the subject grades, CGPA out of 4.00 next to the course name, the IC number, and two named referees at the end. No international template has a field for any of them.

The most expensive mistake is sending the domestic version across the Causeway unchanged. The photo, IC number, date of birth, race and religion that make a resume read as complete in Kuala Lumpur are the same fields that get it discarded in Singapore or Sydney - and the one thing a Singapore employer actually needs, your pass position, is the thing the Malaysian format never carries. Build the Malaysian version for Malaysian employers, then strip it for everywhere else; the sections below cover both.

Malaysian resume formats by sector

Each one is a resume template in Malaysia written in English, including a fresh graduate resume Malaysia employers screen well, an SPM-level format, and a version built for applying across the Causeway. Pick by where the application is going - a local employer, a KL multinational, a startup, a trades role or Singapore - because the right format genuinely differs between them.

Fresh Graduate (Degree & Diploma)

Best for: Fresh graduates from UM, UKM, USM, UPM, UTM, UiTM, Monash Malaysia, Taylor’s, Sunway, MMU and the polytechnics applying for a first role

Structure: Contact → Personal Details → Career Objective → Education (with CGPA) → Internship / Latihan Industri → Co-curricular Activities → Skills → Languages → Referees

Fresh graduate hiring in Malaysia screens on CGPA and university before it reads anything else, so put the CGPA out of 4.00 in the education block next to the course name written in full. A floor of 3.00 is the common threshold on graduate schemes and it is often stated in the advert. Treat latihan industri as real work with the company, department, dates and what you produced. Keep the languages section honest and specific, because a large share of private-sector adverts name a language requirement outright.

SPM & Diploma Holders

Best for: Applicants entering the workforce after SPM, a Sijil or a Diploma - retail, administration, production, logistics, hospitality and technical support roles

Structure: Contact → Personal Details → Objective → Education (SPM results, Diploma) → Work Experience → Skills → Languages → Referees

This is the segment that generic international templates serve worst, because they have no field for SPM results at all. Malaysian employers hiring at this level genuinely read the subject grades, and a credit in Bahasa Melayu and English is a stated requirement in a large number of adverts, particularly in the public sector and the GLCs. List the year and the grades in a compact line rather than a full table, then give the same weight to any hands-on experience you have - part-time work, a family business, PLKN, a certificate from a skills institute.

Corporate & MNC (Kuala Lumpur)

Best for: Roles at the multinationals in KL Sentral, Bangsar South and Cyberjaya - shared services, the Big Four, the regional banks, Intel, Dell, Shell and the global business services hubs

Structure: Contact → Professional Summary → Core Skills → Work Experience → Education (CGPA) → Certifications → Languages

Malaysia’s shared-services and GBS sector is one of the largest in the region and it hires on an international convention, not the local one. Drop the photo, IC number, race, religion and marital status, replace the career objective with a professional summary, and lead with what you delivered rather than what you were responsible for. Keep the languages section - it is a genuine commercial asset here, because these hubs support the whole of Southeast Asia and multilingual staff are hired specifically for it. State proficiency honestly, since it gets tested in the first call.

Technology & Startup

Best for: Engineering, data, product and design roles at Grab, AirAsia MOVE, Setel, Carsome, Aerodyne, iPay88 and the remote-first employers hiring out of KL and Penang

Structure: Contact → Professional Summary → Technical Skills → Work Experience → Projects → Education → GitHub / Portfolio

The Malaysian tech segment has adopted the Western resume almost completely: one to two pages, no photo, no personal details, no referees block, and skills stated up front for keyword matching. Put GitHub, GitLab or a portfolio link in the contact line. Many of these roles are contracts for Singaporean, Australian or US employers, so write for a reader who does not know your university and quantify in a way that survives the border - users, latency, uptime, revenue - rather than relying on the employer brand being recognised.

Skilled Trades & Technical

Best for: Welders, fitters, electricians, technicians, plant operators and QA/QC staff applying in Malaysia or to Singapore and the Gulf

Structure: Contact → Personal Details → Summary → Certifications & Tickets → Work Experience → Equipment & Standards → Education → Referees

For trades the certifications outrank everything and belong above the work history, not below it: name the ticket, the awarding body and the expiry date. A welder should state the processes and positions certified - SMAW, GTAW, FCAW, 6G - along with the code worked to, because that line is the whole screen. Name the equipment, the materials and the standards explicitly rather than describing duties in general terms. This is also the strongest overseas corridor Malaysia has at this level, and a Singapore or Gulf employer will read the certification block first and the rest afterwards.

Applying to Singapore, the Gulf or Australia

Best for: Malaysians applying across the Causeway or further - by a wide margin the largest outbound corridor on this page

Structure: Contact → Professional Summary → Work Experience → Education → Certifications → Languages → Pass / Visa Status

This is the version most Malaysian applicants get wrong, because they send the domestic resume unchanged. For Singapore, take the IC number off entirely - Singapore employers are advised not to collect identity-card numbers unless the law requires it, so a Malaysian IC on the page is both useless and a data-protection problem - and state your pass position instead: whether you would need an Employment Pass or S Pass, and your current status if you already hold one. For Australia and New Zealand also remove the photo, date of birth, race, religion and marital status. The Gulf is the exception and works more like the Malaysian format, with photo, nationality and visa status all expected.

Fresh graduate and student resumes by level

The advice genuinely differs by qualification, and Malaysian adverts screen on the level directly. Pick the one that matches what you actually hold.

Degree holders

A resume fresh graduate Malaysia employers screen well leads with education: the course written out in full, the university, and CGPA out of 4.00 with the scale included. Then latihan industri, then co-curricular activities. Name the final-year project only if it is relevant to the role. Most graduate schemes and management associate programmes set a floor around CGPA 3.00 and state it in the advert, so check before you spend an evening on the application. If yours sits below the line, put a strong internship result, a certification or a competition placing immediately after the education block rather than leaving the reader with only the number. This is the same document people search for as an example resume for fresh graduate in Malaysia, and as a fresh graduate resume Malaysia template - one format, several names.

Diploma and STPM holders

Write the level explicitly, because an advert asking for a Diploma will accept it and one asking for a degree usually will not. Diploma programmes carry more practical hours than a degree, so lead with what you operated, built, maintained or handled, and name the equipment, software and standards by name - for technical and production roles that specificity beats a higher CGPA from a general degree. STPM is graded on its own 4.00 CGPA scale, so state which qualification the number belongs to rather than leaving a bare figure that could be read as a degree result. Matrikulasi and Asasi are worth naming too, since they explain the route you took.

SPM leavers

A resume sample Malaysia SPM leavers can actually use has to have somewhere to put the grades, which is exactly what the imported templates lack. Give the year and the subject grades in one compact line rather than a table, and name Bahasa Melayu and English explicitly, because a credit in both is a stated requirement in a large number of adverts - the public sector and the GLCs especially. Without a diploma or degree, the page is carried by what you have done: part-time and shift work described concretely, a family business, a skills certificate, PLKN, anything hands-on. One page is enough at this level, and a plain single-column layout beats a decorated one every time.

Internship applications

Latihan industri is a requirement on most Malaysian diploma and degree programmes, so an internship resume Malaysia students send is competing against a whole cohort applying in the same window. An example resume for internship in Malaysia should lead with the course, year of study, CGPA and the exact placement dates your university requires, because a coordinator or hiring manager checks the dates before anything else. Then give coursework, projects and any part-time work real detail - tools used, what you built, what you handled. The resume internship Malaysia applicants send is usually one page, and the strongest ones name the department they want rather than asking for anything going.

Malaysian resume vs US resume: what's different

Photo, IC number, SPM grades, referees and expected salary - the differences that decide whether a resume reads as complete in Kuala Lumpur or as a liability in Singapore. Every field in the left column is one to review before you apply abroad.

The Malaysian fields international templates leave out

SPM results, CGPA out of 4.00, the IC number and a named referees block have no equivalent in a US resume, which is why a template downloaded from a design site is missing the fields Malaysian employers screen on.

SPM results

Sijil Pelajaran Malaysia, sat at the end of Form 5, and the one field no international template has anywhere. Malaysian employers hiring below degree level genuinely read the subject grades, and a credit in Bahasa Melayu, and often in English, is a stated requirement in a large number of adverts - the public sector and the GLCs in particular. Write it as a compact line with the year and the grades rather than a full table, because a table is also the thing most likely to break a parser. Once you have a degree and a few years of experience, SPM becomes a single line at the bottom of the education block, and eventually it comes off altogether.

CGPA and the qualification ladder

The ladder runs SPM, then STPM or Matrikulasi or Asasi or a Diploma, then the Ijazah Sarjana Muda (bachelor), Sarjana (master) and Doktor Falsafah. Write the level and the course in full - "Bachelor of Engineering (Hons) Mechanical, Universiti Teknologi Malaysia" tells a screener far more than "degree". State CGPA out of 4.00 with the scale included, because a reader in Singapore or Sydney will not assume it. A 3.00 floor is common on graduate schemes and management associate programmes and is frequently written into the advert itself.

IC number (MyKad)

The 12-digit identity-card number is still printed on a large share of Malaysian resumes and on most application forms, and for a domestic application it is unremarkable. It should come off the moment the application leaves the country. Singapore in particular advises organisations not to collect identity-card numbers except where the law requires it, so a Malaysian IC on a Singapore application is both useless to the reader and an unnecessary disclosure. The same goes for Australia, New Zealand, the UK and Canada. Keep two versions of the file rather than editing it in a hurry.

Referees (rujukan)

Malaysian resumes conventionally close with two named referees - full name, position, organisation, phone and email - rather than the "references available on request" line used in the US. It is a real convention and its absence is noticed on a domestic application. Ask each referee first, give them the advert, and check the number you print. When you apply to Australia, the UK or Canada you can usually keep referees but should confirm they are willing to take an international call; for Singapore they are normal and expected.

Expected salary and notice period

Malaysian applications commonly ask for current and expected salary, and JobStreet has the field built into its own form, so you will be asked whether or not you volunteer it. Give a monthly RM figure or a narrow range rather than "negotiable", which reads as unprepared - and research the range for the role and the state first, because Klang Valley, Penang and Johor do not pay the same. Notice period is also commonly stated on the resume itself, which is unusual by international standards but genuinely useful to a Malaysian hiring manager planning a start date.

Languages

The languages section is doing real work on a Malaysian resume rather than filling space. Bahasa Malaysia and English are the baseline, and Mandarin, Cantonese, Hokkien and Tamil are all named in adverts often enough that listing them accurately changes which roles you are shortlisted for. State a level you can defend in an interview - "conversational", "professional working", "native" - because it is checked quickly and an overstated claim is an expensive way to lose a first call. If you hold a MUET band or an IELTS score, put the number in.

EPF, SOCSO and EIS

KWSP (EPF), PERKESO (SOCSO) and the Employment Insurance System are payroll and onboarding matters, not resume content, so leave the numbers off the document entirely. They are worth understanding for a different reason: they are what an offer letter will reference, and the statutory deductions are why the gross figure you negotiate and the net figure you bank are not the same. MYFutureJobs, run by PERKESO, is also where a large number of vacancies are posted, so it is worth a search alongside the commercial boards.

Writing tips for Malaysian resumes

Six things that separate a professional resume Malaysia recruiters shortlist from the generic job resume Malaysia applicants usually send.

Put CGPA and SPM where a screener will find them in two seconds

CGPA out of 4.00 is the first filter on a fresh-graduate resume and is often an explicit threshold in the advert, with 3.00 the common floor on graduate schemes. Write it next to the course name with the scale included. Below degree level the same is true of SPM grades, and a credit in Bahasa Melayu and English is a stated requirement in a large number of adverts. Burying either at the bottom of the page reads the same way as leaving it out to someone working through two hundred applications.

Treat latihan industri as real work experience

Industrial training is usually the only work history a fresh graduate has, so give it the company, the department, exact dates and three or four bullets on what you produced with numbers attached - records processed, reports built, customers handled, systems used. "Internship, 3 months" throws away your strongest evidence. Give it its own section rather than a line tucked under education.

Make the languages section accurate, not decorative

Bahasa Malaysia and English are the baseline, and Mandarin, Cantonese, Hokkien and Tamil are named in adverts often enough that listing them honestly changes which roles you are shortlisted for. State a level you can defend - conversational, professional working, native - and add a MUET band or IELTS score if you have one. An overstated claim is an expensive way to lose a first phone call, because it is the easiest thing in the whole document to test.

Name a salary figure rather than writing "negotiable"

Malaysian applications routinely ask for current and expected salary and JobStreet builds the field into its own form, so you will be asked either way. Give a monthly RM figure or a narrow range, researched for the role and the state - Klang Valley, Penang and Johor genuinely differ. Remember the gross figure is not what you bank, because EPF, SOCSO and EIS come out of it. A considered number reads as prepared; "negotiable" usually just delays the same conversation.

Build the Singapore version before you need it

The IC number, photo, date of birth, race, religion and marital status are the fields that make a domestic resume complete and an overseas application fail - and Singapore is by a wide margin the largest corridor out of Malaysia. Add what the Malaysian format never carries: your pass position, whether you hold an Employment Pass or S Pass or would need sponsorship. Keep two versions of the file from the start rather than editing under pressure when a posting closes in two days.

Keep it single-column, table-free, and name your files properly

JobStreet, Hiredly, Maukerja and Ricebowl parse uploads with their own parsers, and the corporates and shared-services hubs run Workday and SuccessFactors. Tables, columns and text boxes are what most often cause a parser to drop content silently - a two-column "modern" resume can lose your whole work history invisibly. This applies to the SPM results line too, tempting as a table is there. Name the file properly as well: "Nurul_Aisyah_Resume.pdf", not "resume final v3.pdf".

Applying abroad from Malaysia

Singapore is the largest corridor by a wide margin, and it is the one worth getting right first. Take the IC number off - Singapore employers are advised not to collect identity-card numbers unless the law requires it - then remove the photo, date of birth, race, religion and marital status, and add your pass position instead: Employment Pass or S Pass, held or needed. Both carry a minimum qualifying salary that rises with age and is revised periodically, and the Employment Pass also has to clear the points-based COMPASS framework, so check the Ministry of Manpower for the current thresholds rather than quoting a figure from a forum. The Gulf is the second corridor and works more like the Malaysian format, with photo, nationality and visa status all expected. Australia and New Zealand are the strictest: everything personal comes off, and Malaysia is a partner country for the Work and Holiday visa (subclass 462), which has an annual cap and its own English and education requirements.
