Facilities Assistant Mailroom

What this job involves:

As a Facilities Assistant in the Mailroom at JLL, you'll be the backbone of our daily mail and package operations, ensuring seamless communication flows throughout the facility. This role puts you at the center of our logistics operations, where you'll manage incoming and outgoing mail, coordinate package deliveries, and maintain organized distribution systems that keep our workplace running smoothly. You'll interact with employees across all departments, building relationships while providing exceptional service that supports everyone's success. This position offers hands-on experience in facilities operations within a collaborative environment where attention to detail, reliability, and customer service excellence are essential to daily success.

What your day-to-day will look like:

• Sort, organize, and distribute incoming mail and packages to appropriate departments and personnel throughout the facility

• Process outbound mail and packages, including preparing items for courier pickup, applying correct postage, and maintaining shipping logs

• Operate mailroom equipment such as postage meters, sorting machines, and barcode scanners while maintaining equipment in proper working condition

• Coordinate with courier services and delivery vendors to ensure timely pickup and delivery of time-sensitive materials

• Maintain accurate records of all incoming and outgoing shipments, tracking numbers, and delivery confirmations using digital systems

• Manage mailroom inventory including shipping supplies, envelopes, boxes, and packing materials, placing orders when stock runs low

• Respond to employee inquiries regarding package status, mail delivery, and shipping procedures with professionalism and helpful guidance

• Support facility operations by assisting with supply deliveries, document distribution, and occasional light facilities tasks as needed

Required qualifications:

• High school diploma or equivalent certification

• 1+ years of experience in mailroom operations, shipping/receiving, or similar logistics role

• Strong organizational skills with proven ability to manage multiple tasks and prioritize time-sensitive deliveries

• Proficiency with standard computer applications including email, spreadsheets, and shipping software

• Excellent customer service orientation with professional communication skills when interacting with employees at all levels

• Physical ability to lift and move packages up to 40 pounds and stand for extended periods throughout the workday

• Detail-oriented approach with commitment to accuracy in sorting, labeling, and record-keeping

Preferred qualifications:

• Experience with postage meter operation and commercial shipping platforms such as FedEx, UPS, or DHL systems

• Familiarity with corporate mailroom procedures and document handling protocols in a professional office environment

• Basic understanding of hazardous material shipping regulations and package labeling requirements

• Flexibility to adapt to changing priorities and workload fluctuations during peak delivery periods
