Position Summary

The Ecommerce Assistant acts as the deputy fulfillment manager for Safeer's ecommerce operations, covering all four aggregator platforms and Safeer Online. The role exists to maintain stable, uninterrupted store performance — particularly freshness quality, fulfillment speed and accuracy, and stock availability — including in periods when the Ecommerce Lead is unavailable, ensuring continuity of business without disruption.

Key Responsibilities

Fulfillment Operations Oversight

• Monitor real-time order flow across all aggregators and Safeer Online; ensure orders are picked, packed, and dispatched within SLA windows.
• Track fulfillment speed KPIs (order-to-dispatch time, on-time delivery rate) daily and flag deviations immediately.
• Identify and resolve bottlenecks at store/dark-store level before they affect the customer experience.
• Ensure Delivery riders availability on time and reports delays to Vendor to avoid repeated delays

Stock Availability & Accuracy

• Monitor stock-out rate and out-of-stock (OOS) percentage by store and SKU across all platforms.
• Ensure inventory sync accuracy between physical stock and what is listed live on each channel, to prevent overselling or underselling.
• Coordinate with store and replenishment teams to close availability gaps on fast-moving SKUs.
• Run regular audits of listing-vs-actual stock discrepancies.

Freshness & Quality Control

• Enforce freshness standards at picking,
• Train new and existing pickers in Hygien and picking rules
• Conduct spot checks on perishable categories (produce, dairy, bakery, meat/seafood) before dispatch.
• Track quality-related complaints and returns, and identify root causes by store.
• Ensure cold-chain and handling protocols are followed during picking and last-mile handoff.

Commercial Team Coordination

• Align with the commercial team on promotions, new listings, and delistings to ensure stock and fulfillment readiness ahead of campaigns.
• Feed fulfillment and stock constraints back into commercial planning.
• Coordinate pricing and catalog updates across aggregators with commercial to maintain parity and avoid mismatches.

KPI Monitoring & Reporting

• Own the daily/weekly performance dashboard (SLA%, OOS%, order accuracy%, cancellation rate, complaints, aggregator ratings).
• Compare performance across the aggregators and Safeer Online to identify channel-specific issues.
• Prepare a concise daily flash update and a weekly deep-dive report.

Issue Escalation & Business Continuity

• Follow a clear escalation matrix — what can be resolved directly vs. what requires the Ecommerce Lead's sign-off, even remotely.
• Maintain a daily business-continuity checklist to keep operations stable with minimal judgment calls required.

Qualifications & Requirements

• Bachelor's Degree in Business Administration, Supply Chain Management, Logistics, eCommerce, or a related field.
• Minimum 3–5 years of UAE experience in eCommerce, online grocery, retail operations, fulfillment, or a similar industry.
• Experience managing operations across aggregator platforms and online retail channels.
• Strong knowledge of inventory management, fulfillment operations, and quality control procedures.
• Proficient in Microsoft Excel and reporting tools.
• Excellent analytical, coordination, and problem-solving skills.
• Strong communication and team management abilities.
• Valid UAE Driving License is mandatory.
