Role Overview:

We are pleased to offer an exciting opportunity for 2* Trust Administrators* to join our Geneva team. This role is an excellent entry point for someone looking to start and develop a career in a dynamic and international environment.

We are seeking an organised, detail-oriented and reliable individual who takes pride in delivering work of the highest quality. This is a junior, hands-on role suited to someone who enjoys collaborating with colleagues, shows genuine respect for clients and is motivated by accuracy and precision. A strong sense of ownership and the ability to see tasks through to completion are essential.

In this role, you will provide support to a cross jurisdictional team, assisting with the administration of their client portfolios. The role is varied and requires the ability to multi-task and balance the demands of our clients with guidance and support from the team.

You will play a key role within the team, requiring a high level of organisation, accuracy and care. The position also requires building effective working relationships with your colleagues, clients and external partners, as well as communicating professionally via telephone, email, and written correspondence.

Key Responsibilities:

  • Filing, organising, and retrieving documents physically and digitally
  • Diarising important team tasks and dates
  • Liaising with service providers, such as bankers, investment managers, and registered offices, on daily administrative matters
  • Arranging for documents to be notarised and/or legalised as required
  • Preparing payment instructions and payment packs, including AML forms and supporting documents
  • Drafting documents, such as cover letters, basic loan agreements, minutes and resolutions, among others
  • Processing the incorporation of companies and the termination of companies and trusts
  • Preparing bank account opening forms including all associated KYC documents
  • Working with other team members to consider and, where appropriate, progress private equity investments including undertaking necessary due diligence and review of associated investment proposals and legal documentation
  • Understanding economic substance classifications and preparing the review and associated resolutions
  • Undertaking periodic reviews of client entities as required in line with relevant regulatory requirements
  • Following FATCA and CRS flowcharts for various client entities to understand the appropriate classification, and preparing sponsorship agreements where relevant
  • Supporting senior staff within the team and wider office
  • Completing other tasks as required

Qualifications:

  • Higher education qualification or commercial apprenticeship diploma

Skills & Experience:

  • 1 to 2 years’ direct experience in Trust Administration or the Family Office sectors; other administrative or client-facing experience would be an advantage
  • Proficiency with the Microsoft Office suite and the ability to learn new database systems quickly
  • Enthusiastic and willing to learn
  • Excellent written and spoken English communication skills; French would be an advantage
  • Strong interpersonal skills
  • Enjoyment Motivated of working within a busy team and contributing to the efficient operation of the portfolios

Pay: CHF75’000.00 - CHF95’000.00 per year
