Location: Amsterdam, EMEA Head Office

Parttime time role: 24 hours/week (3 days in office)

About the role:

We are searching for a Quality Assurance Specialist to support our EMEA Quality Assurance team.

This is temporary 6 months placement for 3 days per week based in our Amsterdam HQ office.

The Quality Assurance Specification Technologist will support Subway’s Quality Assurance team by maintaining accurate, complete, and compliant product specifications across internal systems and supplier documentation platforms. This is a junior-level role focused on product specification management, supplier documentation follow-up, external manufacturer support, and quality data administration.

The role will work closely with Quality Assurance, Product Category Management, Culinary, Supply Chain, Operations, suppliers, and external manufacturers to ensure product information is properly captured, reviewed, approved, and maintained. The ideal candidate will have early experience in food quality, product specifications, supplier documentation, or food manufacturing, with preferred exposure to TraceGains or other specification management platforms.

Key Responsibilities

  • Support the creation, review, update, and maintenance of product specifications for Subway-approved ingredients, packaging, and finished products.
  • Enter and manage product specification data in TraceGains or other specification management systems.
  • Review supplier-submitted documentation for completeness, accuracy, and alignment with Subway quality and food safety requirements.
  • Follow up with suppliers and external manufacturers to obtain missing or updated specifications, certificates, technical documents, and compliance information.
  • Support the integration of product specifications into internal systems and ensure information is maintained in a consistent and organized manner.
  • Assist with external manufacturer documentation management, including product specifications, manufacturing information, quality records, and supporting compliance documents.
  • Help coordinate specification approvals by working with Quality Assurance, Product Category Management, Culinary, Supply Chain, and suppliers.
  • Support supplier and product onboarding activities by collecting, checking, and tracking required quality and technical documentation.
  • Maintain accurate records of specification changes, document versions, approval status, and supplier responses.
  • Assist with product testing and quality programs by supporting sample tracking, documentation, data entry, and reporting.
  • Respond to internal and market requests related to product documentation, specification status, and supplier information.
  • Escalate specification gaps, missing documentation, supplier delays, or compliance concerns to the appropriate Quality Assurance team members.
  • Participate in cross-functional activities related to product launches, reformulations, supplier transitions, and specification updates.

Qualifications

  • Bachelor’s degree in Food Science, Food Technology, Food Engineering, Nutrition, or a related field.
  • 1 to 2 years of experience in food quality assurance, specification management, supplier quality, food manufacturing, product development, or a related technical food role.
  • Preferred experience using TraceGains, Specright, SAP PLM, Genesis, Hamilton Grant, or other specification management / supplier documentation platforms.
  • Some experience working with external manufacturers, suppliers, co-packers, or food production sites is preferred.
  • Basic understanding of food product specifications, quality documentation, ingredient statements, allergens, nutritional information, certificates of analysis, and supplier compliance documents.
  • Strong attention to detail and ability to manage technical data accurately.
  • Strong communication skills, with the ability to follow up clearly and professionally with suppliers and internal stakeholders.
  • Good organizational skills and ability to manage multiple documentation requests, deadlines, and system updates.
  • Proficiency in Microsoft Office, especially Excel, Word, Outlook, and PowerPoint.

Preferred Experience

  • Familiarity with allergens, product specifications, food safety documentation, and supplier compliance requirements.
