Role Summary Plans and coordinates private and corporate events from confirmation through execution, including liaising and coordinating with DMCC and other key stakeholders. Works closely with operations, AV, and marketing teams to ensure every event detail is in place, and acts as the main point of contact for clients once a booking is confirmed.

Key Responsibilities

  • Event Planning & Coordination: Manages confirmed bookings from planning through execution. Coordinates menus, room setups, timelines, and special requests. Prepares run sheets and briefs relevant teams ahead of each event.
  • On-Site Execution: Attends events to oversee setup, manage timelines, and handle any issues on the spot. Acts as the main contact for the client and guests during the event.
  • Client Communication: Keeps clients updated before, during, and after their event. Confirms final details, manages last-minute changes, and follows up after the event for feedback.
  • Cross-Department Coordination: Works with operations, kitchen, and AV teams to confirm logistics. Coordinates with marketing on event visuals and promotional content, including photos and videos during major events.
  • Administration & Reporting: Maintains event calendars and checklists. Prepares post-event summaries, tracks deposits and billing, and keeps documentation up to date.

Qualifications

  • Bachelor's degree in Business, Hospitality Management, or a related field.
  • 1–3 years of experience in event coordination within hospitality or similar.
  • Strong organizational skills and attention to detail.
  • Comfortable working under pressure and managing multiple events at once.
  • Flexibility to work evenings, weekends, and event schedules.
