Export Operations Coordinator

We are looking for an Export Operations Coordinator to manage and coordinate the day-to-day export operations of our frozen food products. The role will act as a key link between the manufacturing plant, logistics team, export department, freight forwarders, and customers, ensuring shipments are prepared and documented accurately and dispatched on time.

Key Responsibilities

• Coordinate export orders from production planning through shipment and final documentation.
• Liaise with the manufacturing/production plant to confirm product availability, production schedules, packing, and dispatch readiness.
• Coordinate with logistics and freight forwarders for container bookings, transportation, loading, and shipment schedules.
• Prepare, check, and coordinate export documentation, including commercial invoices, packing lists, certificates of origin, health/veterinary certificates, shipping documents, and other required documents.
• Ensure export documents are accurate, complete, and submitted on time.
• Coordinate with customers and internal teams regarding shipment status, documentation, and delivery schedules.
• Monitor shipment timelines and proactively resolve operational or documentation issues.
• Maintain proper records of export shipments and documentation.
• Ensure compliance with destination-country and food-export requirements.
• Coordinate with relevant authorities, inspection agencies, shipping lines, and customs brokers when required.

Requirements

• 2–5 years of experience in export operations, logistics, shipping, or documentation, preferably in the frozen food or food manufacturing industry.
• Good understanding of export procedures and international shipping documentation.
• Experience coordinating with manufacturing/production, logistics, freight forwarders, and customers.
• Strong attention to detail, organization, and follow-up skills.
• Good communication and problem-solving abilities.
• Proficiency in MS Office/Excel.
• Knowledge of food export documentation and certificates is an advantage.
