About GCC Group
GCC Group is a Dubai-headquartered corporate services, legal structuring and capital markets group operating as GCC Solutions, GCC Law, Gulf Equity Partners and Gulf Trust, with offices in Abu Dhabi, Riyadh and Kuwait. We are a ten-person team serving founders, family offices, fund managers and international companies entering the Gulf. Our work runs on Microsoft 365, Zoho CRM and Books, Box, and a growing set of AI tools, so the person who runs our office also runs the systems the office depends on.
The role
This is a conventional Office Manager role with an unconventional second half. You will own the day-to-day running of the Dubai office: facilities, suppliers, admin, records, onboarding and the hundred small things that keep a professional-services firm moving. You will also be our first line of IT and digital support: keeping laptops, accounts, email and the network working, administering our web hosting and WordPress sites, and helping the team use AI tools such as Claude and ChatGPT productively and safely. Deep technical specialisms sit with our external IT partner; you are the person who makes sure the basics work every day and who knows when to escalate.
Responsibilities
Office and administration
- Run the Dubai office end to end: facilities, maintenance, access cards, supplies, couriers, meeting rooms and visitor handling.
- Manage suppliers and service contracts (cleaning, telecoms, printing, insurance, office lease matters) and keep a renewal calendar.
- Support employee onboarding and offboarding: workstation, accounts, access, welcome pack, exit checklist.
- Maintain office policies, the asset register, filing structure and physical and digital records in line with our Box filing conventions.
- Coordinate with the Executive Assistant and Administration Executive on travel, events, licences and PRO matters where needed.
- Track the office budget, process supplier invoices through the payment-request workflow, and reconcile petty cash.
IT and systems (first-line)
- Act as first-line IT support for the team: laptops, printers, Wi-Fi and network, mobile devices, video-conferencing and meeting-room kit.
- Administer Microsoft 365 users, licences, mailboxes, shared drives, Teams and SharePoint at a day-to-day level; coordinate with the external IT partner on security, tenant configuration and anything beyond first line.
- Maintain the device and software inventory, patching cadence, backups and password-manager hygiene; enforce MFA and access reviews.
- Set up and support business tools including Zoho CRM and Books, Box, Adobe, e-signature and telephony.
- Log and prioritise IT issues, chase resolution, and keep simple how-to guides current.
Web hosting and websites
- Administer our domains, DNS, SSL certificates and hosting accounts (GoDaddy and similar), including renewals and email routing records.
- Maintain the group WordPress websites: updates, plugins, backups, user access, page edits, forms and basic performance and security hygiene.
- Publish and update content supplied by the team (team pages, job postings, news, service pages) and liaise with the web development partner on anything structural.
- Monitor uptime and site health and act on issues before clients notice them.
AI tools and productivity
- Operate and administer the firm's AI tools (Claude, ChatGPT, Microsoft Copilot and similar): workspace setup, seats, permissions and usage guidelines.
- Build and maintain reusable prompts, projects and simple workflows for recurring tasks such as document summaries, meeting notes, first drafts and data clean-up.
- Train colleagues in practical use of these tools and keep a short internal playbook of what works.
- Apply and help enforce our data-handling rules: what may and may not go into an AI tool, client confidentiality, and record-keeping.
What we are looking for
Essential
- Three or more years in an office manager, office administrator or operations coordinator role, ideally in a professional-services or consulting firm.
- A solid IT background: comfortable with Windows and Mac, Microsoft 365 administration at user level, networking basics, and troubleshooting hardware and software without a script.
- Hands-on experience with web hosting and WordPress: domains and DNS, hosting control panels (GoDaddy cPanel or equivalent), plugin and theme updates, backups and basic security.
- Demonstrable, everyday use of AI tools such as Claude and ChatGPT for real work, with a clear understanding of their limits and of confidentiality risks.
- Strong written and spoken English; organised, discreet and calm under pressure; happy to be the person everyone comes to.
- Currently in the UAE with a transferable visa or eligible for a new employment visa.
Preferred
- Experience administering Zoho, Box, or another CRM and document platform.
- Familiarity with Microsoft 365 security concepts (MFA, conditional access, Intune) and with an IT ticketing tool.
- Basic HTML and CSS, or experience with page builders such as Elementor.
- Exposure to AI workspace administration (Claude for Teams or Enterprise, ChatGPT Team) or to building simple automations with Zapier, Power Automate or Zoho Flow.
- Arabic language skills.
- Experience in a regulated or legal environment where record-keeping and confidentiality matter.
How we will assess candidates
Shortlisted candidates will complete a short practical exercise (about 45 minutes) covering three things: diagnosing a described laptop and email problem, making a specified content change to a WordPress staging site and explaining how you would back it up first, and using an AI tool to produce a supplier comparison from a set of quotes, with a note on what you would not have put into the tool. We care more about how you think through each task than about perfect answers.
