Job description

We are looking for a highly organised, commercially minded and detail-oriented RFP & Bid Specialist to join our Commercial team in Dubai on a long-term freelance basis.

This role will take ownership of the end-to-end proposal and RFP process for key commercial opportunities to develop high-quality, competitive and compelling submissions.

You’ll need to be comfortable interpreting complex briefs, coordinating multiple stakeholders, managing demanding deadlines and turning technical and commercial information into clear, persuasive and visually strong proposals.

Key Responsibilities

Proposal Writing & RFP Management

  • Manage the end-to-end RFP and bid process, from initial brief review through final submission.
  • Draft high-quality, professional RFP responses and commercial proposals for Class A and B opportunities, in close collaboration with the relevant Business Development Manager or Account Manager.
  • Review and interpret complex RFP documentation, identifying mandatory requirements, deliverables, timelines, evaluation criteria and submission requirements.
  • Coordinate Go / No-Go assessments with the Commercial team to evaluate opportunity fit, resource requirements, internal capacity and commercial viability.
  • Develop structured, compelling and story-driven technical proposals tailored to each client’s requirements.
  • Coordinate the development of commercial proposals, ensuring pricing, scope and supporting documentation are complete and internally approved.
  • Format and present proposals to the highest visual and structural standards, aligned with Event Lab’s brand identity.
  • Maintain a centralised library of approved proposal templates, service descriptions, company credentials, case studies and pricing frameworks.
  • Ensure all proposals undergo appropriate proofreading, quality control and internal approval before submission.
  • Manage tender and client registration portals and ensure all submissions are completed accurately and on time.
  • Adhere to agreed SLAs for proposal turnaround times and pricing requests, ensuring commercial deadlines are consistently met.

Commercial Pricing & Numerical Analysis .

  • Own the numerical quality control of commercial submissions, validating rates, quantities, formulas, totals, assumptions and supporting calculations before approval.
  • Build, review and maintain bid pricing and costing models in Excel, including manpower or staffing costs, supplier quotations, project costs, mark-ups, margins, contingencies, discounts and other commercial assumptions.
  • Analyse different pricing scenarios and recommend commercially competitive options that protect required margins while responding to the client's budget and evaluation criteria.
  • Compare supplier and subcontractor quotations, normalise commercial inputs, identify outliers or missing costs and challenge assumptions where necessary.
  • Track and report bid-performance metrics such as submitted value, won value, win rate, pricing trends and commercial lessons learned.

CRM Administration & Data Integrity

  • Maintain CRM data integrity for all supported deals, ensuring opportunity, pricing, contract and client information is accurate and up to date.
  • Act as the CRM gatekeeper for Class A and B opportunities, ensuring contracts, pricing structures and supporting documentation are properly recorded.
  • Conduct regular CRM audits to identify and correct data gaps, expired opportunities and misclassified accounts.
  • Prepare accurate pipeline and compliance documentation to support Commercial Director reviews.
  • Work with the Commercial Director to maintain strong CRM hygiene standards across the Commercial team.

Cross-Functional Coordination & Enablement

  • Coordinate with internal departments to obtain accurate pricing and costing inputs for proposals and commercial submissions.
  • Support client onboarding documentation, contract preparation and internal briefing packs.
  • Manage internal proposal timelines, assign required inputs to stakeholders and follow up regularly to ensure deadlines are met.
  • Identify inefficiencies within proposal, pricing, CRM or documentation workflows and recommend improvements.
  • Support the continuous improvement and standardisation of the overall bid and proposal process.

Requirements

  • Bachelor’s degree in Business Administration, Communications, Marketing or a related field.
  • Minimum 3–5 years of experience in bid management, RFP management, proposal development, commercial operations, pre-sales support or a similar role.
  • Proven experience managing multiple complex RFPs or proposals simultaneously in a fast-paced, deadline-driven environment.
  • Exceptional written communication and proposal-writing skills, with the ability to turn complex information into clear and compelling narratives.
  • Strong project management and cross-functional stakeholder coordination skills.
  • Excellent attention to detail with a high standard of accuracy in commercial documentation.
  • Strong commercial awareness and the ability to understand scopes, pricing structures and commercial requirements.
  • Fluency in English and Arabic , with excellent written and verbal communication skills in both languages.
  • Advanced proficiency in PowerPoint, Word and Excel.
  • Experience working with CRM systems, tender portals and commercial documentation.
  • Previous experience within the events, entertainment, experiential, hospitality or related services industry would be a strong advantage.
  • Highly organised, proactive and comfortable managing competing priorities and demanding submission deadlines.
