Job description

Your Role

As Finance & Accounting Specialist / Executive Assistant, you will play a central role in the day-to-day financial and administrative operations of Brillify Tech GmbH.

You will be the key interface between our German organization, external accounting and tax partners, banks, suppliers, and our headquarters in Taiwan. In addition to supporting accounting and financial administration, you will assist management and employees with business travel and selected organizational matters.

We are looking for an experienced, highly reliable and hands-on professional who enjoys working independently in a small, international high-tech organization and who is comfortable communicating across countries, cultures, and time zones.

Your Responsibilities

Finance & Accounting

  • Support the day-to-day accounting and financial administration of Brillify Tech GmbH.
  • Review, process and track incoming and outgoing invoices.
  • Coordinate accounts payable and accounts receivable activities with our external accounting partner.
  • Prepare and maintain accounting documentation and ensure complete and accurate records.
  • Support monthly, quarterly and annual closing activities.
  • Prepare financial information and documentation required by external accountants, tax advisors and auditors.
  • Support expense accounting and reimbursement processes.
  • Monitor outstanding invoices and payment deadlines.
  • Assist with intercompany transactions and reconciliation with our headquarters in Taiwan.
  • Support management with financial reports, cost overviews and other financial information.

External Accounting & Tax Advisors

  • Serve as the primary operational interface with our external accounting provider and tax advisors.
  • Prepare and provide all required documents and information in a timely and structured manner.
  • Coordinate questions relating to accounting, taxation, payroll-related documentation and financial reporting.
  • Support the preparation of statutory financial statements, tax filings and other regulatory requirements.
  • Follow up on open topics and ensure timely completion of agreed actions.

Banking & Payments

  • Coordinate day-to-day communication with banks and financial institutions.
  • Prepare payments and banking transactions for management approval.
  • Monitor bank accounts, incoming payments and payment execution.
  • Support administration of bank accounts, corporate credit cards and banking authorizations.
  • Assist with documentation required for banking, KYC and compliance processes.

Cooperation with Headquarters in Taiwan

  • Act as a key interface between Brillify Tech GmbH and the Finance and Administration teams at our headquarters in Taiwan.
  • Provide financial and administrative information required for group reporting.
  • Support intercompany invoicing, reconciliation and documentation.
  • Coordinate reporting schedules and respond to finance-related requests from headquarters.
  • Ensure clear and efficient communication between the German entity and the global organization.

Travel & Management Support

  • Coordinate international and domestic business travel for management and employees.
  • Arrange flights, hotels, ground transportation and other travel requirements.
  • Support visa applications and travel documentation where required.
  • Assist with travel expense documentation and reimbursement.
  • Support management with selected organizational and administrative activities.
  • Coordinate appointments and external meetings where required.

General Administration

  • Support contract, supplier and administrative documentation.
  • Maintain structured digital and physical records.
  • Coordinate with external service providers.
  • Support the continuous improvement of financial and administrative processes as the German organization grows.

Your Qualifications

  • Completed commercial vocational training, degree in Business Administration, Finance, Accounting or a comparable qualification.
  • Several years of relevant professional experience in accounting, finance administration or commercial operations are mandatory.
  • Hands-on experience working with external accounting providers, tax advisors and banks is required.
  • Sound understanding of German accounting and general commercial processes.
  • Experience with accounts payable, accounts receivable, invoicing, expense accounting and payment processes.
  • Experience in an international business environment is strongly preferred.
  • Confident use of Microsoft Office, particularly Excel.
  • Experience with accounting and DATEV systems is desirable.

Languages

  • Fluent German is required.
  • Very good written and spoken English is mandatory.
  • Mandarin Chinese language skills are highly desirable and would be a significant advantage for direct communication with our headquarters in Taiwan.
