Job Brief
KJ Auto Parts is seeking an organized and detail-oriented Purchase Administrator to support our procurement operations. Working directly under the Head of Purchase, you will manage purchase orders, track automotive component inventory, Inventory Planning, maintain vendor databases, and resolve delivery or invoicing discrepancies to ensure seamless supply chain workflows.
Key Responsibilities & Roles
- PO Administration: Prepare, issue, and accurately process Purchase Orders (POs) for automotive parts within the ERP system.
- Order Tracking: Coordinate daily with local / international suppliers and logistics team to track shipment statuses and ensure on-time delivery.
- Data Management: Maintain and clean the vendor management database with accurate pricing, lead times, and contact profiles.
- Inventory Planning: Support Purchase Head with order planning and procurement processes,
- Discrepancy Resolution: Cross-reference goods received notes (GRN) with supplier invoices and POs to resolve pricing or quantity mismatches.
- Documentation: Archive all import documentation, customs paperwork, and compliance certificates systematically.
- Reporting Support: Assist the Purchase Head by pulling raw data to generate monthly procurement cost and lead-time KPIs.
Job Requirements & Qualifications
- Experience: 1 to 3 years of administrative experience, ideally within auto parts retail, manufacturing, or distribution logistics.
- Technical Skills: High proficiency in MS Excel (VLOOKUPs, pivot tables) and experience working with standard ERP systems (e.g., SAP, Oracle, Odoo).
- Auto Industry Knowledge: Foundational knowledge of automotive terminology, parts classification, or aftermarket brands is highly valued.
- Highly dedicated individual with Can-do attitude, strong ownership mentality, willingness to take responsibility and deliver results,
- Education: Diploma or Bachelor's degree in Business Administration, Supply Chain Management, Logistics, or a related field OR Mechanical Engineer.
- Communication: Strong verbal and written communication skills to handle supplier negotiations and internal team alignment.
- Nationality and gender: No bar.
- IMMIDIATE JOINEE.
Pay: Up to AED3,000.00 per month
Work Location: In person
