Role Overview

The Associate is responsible for managing Ghaf Benefits interactions with UAE government authorities and applicable non-financial services regulatory bodies, ensuring full compliance with employment, immigration, licensing, and administrative requirements.

The role oversees employment visas, work permits, labour and immigration processes, Emirates ID applications, quota management, document attestation, and related regulatory filings to support business continuity. Acting as the primary liaison with government entities, the PRO must be licensed, and they are responsible for ensuring timely completion of all statutory obligations and maintaining effective relationships with relevant authorities. In addition, the role manages LLC office administration activities in coordination with the H/Q corporate services team, where & when needed, ensuring the efficient operation of an office and of outsourced workplace service providers.

Key Duties & Responsibilities

  • Manage all employment visa, work permit, residency, and immigration-related processes for employees and sponsored dependents, where applicable.
  • Liaise with UAE government authorities and relevant non-financial services regulatory bodies to ensure compliance with regulations and requirements.
  • Representing the LLC as the licensed PRO in all official interactions, including inspections, with relevant Government authorities
  • Coordinate and monitor labour and immigration compliance obligations, ensuring timely submissions, renewals, and approvals.
  • Process and oversee Emirates ID applications, renewals, cancellations, status changes, and related government documentation.
  • Prepare, submit, and track quota applications and other workforce-related government approvals.
  • Coordinate document legalization, attestation, notarization, and certification requirements with relevant authorities and service providers.
  • Manage office lease in coordination with relevant H/Q teams and vehicle registration, renewal, and related government administrative requirements, as applicable.
  • Maintain accurate records and trackers for visas, permits, immigration documents, government approvals, and non financial services regulatory filings.
  • Monitor non financial services regulatory changes and communicate potential impacts or required actions to relevant stakeholders.
  • Build and maintain effective working relationships with authorities including ICP, MOHRE, municipalities, chambers of commerce, and other government agencies.
  • Coordinate with Corporate Secretariat and other internal stakeholders to support company licensing requirements and ensure timely completion of associated government processes.
  • Manage day-to-day office administration activities for the LLC office, ensuring a safe, efficient, and professional workplace environment.
  • In partnership with the Corporate Services team at H/Q coordinate outsourced service providers including cleaners, security, maintenance, parking providers, couriers, and other workplace vendors.
  • Oversee office supplies, facilities requirements, access management, workspace organization, and general administrative support activities.
  • Support business continuity by ensuring office services and government-related requirements are delivered efficiently and without operational disruption.

Qualifications & Experience

  • Bachelor’s degree or diploma in Business Administration, Human Resources, Public Administration, or a related field preferred.
  • Minimum 5 years of experience as a PRO, Government Relations Officer, or similar role within the UAE, with a proven track record.
  • Strong knowledge of UAE labour, immigration, and government administration processes and requirements.
  • Demonstrated experience dealing with ICP, MOHRE, municipalities, chambers of commerce, and other relevant government authorities.
  • Experience managing employment visas, Emirates ID processing, quota applications, document attestation, and government compliance activities.
  • Experience supporting office administration, facilities coordination, and vendor management within a corporate environment.
  • Strong organizational skills with the ability to manage multiple deadlines and regulatory requirements simultaneously.
  • Excellent stakeholder management and relationship-building skills with government representatives and external service providers.
  • High attention to detail and commitment to confidentiality and compliance.
  • Proficient in Microsoft Office applications and maintaining accurate compliance and administration records.
  • Strong written and verbal communication skills in English and Arabic
  • Ability to work independently and proactively in a small standalone office environment while collaborating effectively with wider corporate functions.
