About the Role:
We are looking for a detail-oriented and organized Logistics Coordinator to support the day-to-day logistics and supply chain operations.
The role will be responsible for coordinating shipments, deliveries, transportation, customs clearance, and logistics documentation while ensuring that all activities are completed accurately, efficiently, and in line with company procedures and regulatory requirements.
The ideal candidate should have strong hands-on experience with logistics documentation, import/export processes, freight forwarding, customs documentation, shipment tracking, and coordination with suppliers, customers, freight forwarders, transporters, and customs agents.
Key Responsibilities:
- Coordinate end-to-end logistics activities, including inbound and outbound shipments, local deliveries, imports and exports.
- Prepare, verify, and maintain all required logistics and shipping documentation.
- Coordinate with freight forwarders, shipping lines, customs clearance agents, transport companies, suppliers, and customers.
- Track shipments from origin to final delivery and proactively follow up on delays or issues.
- Ensure all shipping and customs documents are complete, accurate, and submitted within required timelines.
- Coordinate customs clearance and provide the required documentation to customs agents.
- Maintain accurate records of shipments, deliveries, customs documents, and logistics transactions.
- Coordinate transportation arrangements and delivery schedules.
- Liaise with warehouse teams to ensure timely preparation, dispatch, and receipt of goods.
- Monitor delivery status and obtain proof of delivery (POD) and other relevant documentation.
- Verify shipping documents against purchase orders, invoices, packing lists, and delivery requirements.
- Support the preparation and processing of commercial invoices, packing lists, delivery notes, bills of lading, airway bills, certificates of origin, and other relevant documents.
- Ensure proper documentation for import/export shipments and coordinate with relevant authorities where required.
- Maintain logistics trackers and provide regular updates on shipment status, pending deliveries, and documentation.
- Support inventory and stock movement coordination between warehouses, suppliers, and customers.
- Resolve documentation discrepancies, delivery issues, shipment delays, and other logistics-related problems.
- Ensure logistics records are properly filed and readily available for audit and compliance purposes.
- Prepare logistics reports and provide operational updates to management.
- Ensure compliance with company policies, customs regulations, trade requirements, and applicable logistics procedures.

The candidate should have practical experience handling and coordinating documentation such as:
- Commercial Invoices
- Packing Lists
- Purchase Orders
- Delivery Notes
- Bills of Lading (B/L)
- Air Waybills (AWB)
- Certificates of Origin (COO)
- Customs Clearance Documents
- Import / Export Documentation
- Shipping Instructions
- Delivery Orders
- Proof of Delivery (POD)
- HS Codes and product classification
- Customs declarations
- Insurance documents, where applicable
- Freight and transportation documentation
- Other documents required by shipping lines, freight forwarders, customs authorities, and customers
Candidate Requirements:
- Bachelor’s degree or diploma in Logistics, Supply Chain Management, Business Administration, or a related field.
- 3–5 years of relevant experience in logistics coordination, supply chain, freight forwarding, or a similar role.
- Strong hands-on experience with import/export and logistics documentation.
- Experience coordinating with freight forwarders, shipping lines, customs clearance agents, transporters, suppliers, and customers.
- Good understanding of customs clearance and international shipping processes.
- Knowledge of import/export procedures and relevant trade documentation.
- Strong attention to detail and accuracy in handling documentation.
- Experience using ERP systems, logistics management systems, and Microsoft Excel.
- Ability to manage multiple shipments and priorities simultaneously.
- Strong follow-up, coordination, communication, and problem-solving skills.
- Good written and verbal English communication skills.
- UAE logistics/customs experience is preferred.
