For our office in Madinah, Kingdom of Saudi Arabia, we are looking for
Senior Document Controller - 100% (m/f)
The Ideal Candidate will have strong experience establishing, administering, and maintaining document-control and correspondence-management systems for large engineering, construction, hospitality, mixed-use, infrastructure, or development programmes. The candidate should be able to take ownership of the complete document archive, manage incoming and outgoing correspondence, control registers and workflows, ensure information is correctly recorded and distributed, and provide reliable document-management support to engineering and project teams.
Responsibilities:
- Establish, maintain, and administer the project document-control system, correspondence workflow, filing structure, and document archive.
- Receive, register, classify, distribute, file, and track incoming and outgoing documents, correspondence, drawings, reports, submittals, RFIs, transmittals, and technical records.
- Maintain accurate document registers, correspondence logs, transmittal logs, drawing registers, submittal registers, revision records, and distribution matrices.
- Control document numbering, revision status, metadata, naming conventions, suitability codes, review status, superseded records, and archive integrity.
- Manage document workflows in ACONEX, SharePoint, ACC, or other EDMS/CDE platforms, ensuring documents reach the correct reviewers and approvers on time.
- Monitor overdue workflows, pending responses, missing attachments, incorrect document coding, distribution gaps, and correspondence requiring follow-up.
- Support the Engineering Manager and multidisciplinary engineering team by retrieving records, preparing document status reports, and maintaining traceable audit trails.
- Check documents for completeness, correct references, revision accuracy, transmittal consistency, and compliance with project document-control procedures before issue.
- Coordinate with client representatives, consultants, contractors, subcontractors, internal teams, and document-control counterparts to maintain efficient information flow.
- Support handover, close-out, archiving, as-built records, final documentation packages, and lessons learned related to document management.
Requirements:
- Diploma or bachelor's degree in Business Administration, Document Management, Engineering Administration, Information Management, or a related discipline.
- Minimum 8 to 12 years of document-control experience, including senior document-control responsibility on major engineering, construction, hospitality, mixed-use, infrastructure, or development projects.
- Advanced working knowledge of ACONEX is strongly preferred; experience with SharePoint, ACC, BIM 360, or other EDMS/CDE platforms is an advantage.
- Strong understanding of document registers, correspondence logs, transmittals, revision control, metadata, workflows, distribution matrices, audit trails, and archive management.
- Experience supporting engineering teams with RFIs, submittals, drawings, design comments, reports, minutes of meeting, technical correspondence, and close-out documentation.
- Ability to work independently, take ownership of the document-control function, and maintain accurate records under high-volume site-based conditions.
- Excellent attention to detail, filing discipline, confidentiality, follow-up capability, and document-quality checking skills.
- Proficiency in Microsoft Excel, Word, Outlook, PDF tools, and document-control reporting.
- Excellent written and verbal English, with the ability to communicate professionally with engineers, managers, contractors, consultants, and client-side stakeholders.
- Middle East project experience is preferred; KSA experience is an advantage.
