The Opportunity:

Facilities Management Support Coordinator

Location: Nijmegen, Netherlands

Contract: Full-time | Initial 1-year contract with the possibility of conversion to a permanent position

About the Role

We are seeking a highly organised and proactive Facilities Management Support Coordinator to support facilities operations at our client's site in Nijmegen. In this role, you will play a key part in ensuring the smooth coordination of maintenance activities, vendor management, spare parts administration, and documentation processes.

Working within a scientific laboratory environment, you will collaborate closely with Facilities, laboratory teams, and external service providers to ensure equipment, systems, and maintenance activities are managed efficiently and in compliance with site requirements. This position combines operational coordination with administrative support and offers the opportunity to contribute to continuous improvement initiatives across the facility.

Key Responsibilities

  • Manage spare parts inventory, including ordering, receiving, tracking, and lifecycle management.

  • Monitor spare part availability and obsolescence to ensure operational continuity.

  • Coordinate service vendor scheduling, site access, and maintenance activities.

  • Escort external vendors within laboratory and GMP-regulated environments where required.

  • Coordinate preventive maintenance activities and support equipment maintenance programs.

  • Support the management of validation, calibration, repair, and maintenance documentation.

  • Ensure maintenance records and supporting documentation are accurate, compliant, and properly maintained.

  • Support plant equipment maintenance activities and facilities operations.

  • Contribute to continuous improvement initiatives within the Facilities function.

  • Provide cross-functional support to other departments as needed to ensure seamless service delivery.

Qualifications

  • Bachelor's degree in Science, Business Administration, or a related discipline preferred.

  • Experience working within a laboratory, scientific, or regulated environment.

  • Experience in a customer-facing or service-oriented role.

  • Experience supporting or working within an in vivo facility is considered an advantage.

  • Knowledge of Safety, Health, and Environment (SHE) requirements within laboratory environments.

  • Understanding of GLP regulations and compliance requirements.

Working Environment

This role is primarily based within a scientific laboratory environment and also includes office-based administrative work. The position requires regular interaction with laboratory personnel, facilities teams, and external vendors to ensure efficient and compliant facilities support.
