The Project Operations Executive is accountable for the end-to-end operational execution of project cargo shipments, including Breakbulk (BBK), RoRo, Flat Rack, Open Top, Heavy Lift, and Out-of-Gauge (OOG) movements. This role requires effective coordination with customers, carriers, shipping lines, transport providers, customs authorities, ports, and internal stakeholders to ensure project shipments are executed safely, efficiently, and in line with agreed timelines and service requirements.
About the Job
Operational Coordination
Coordinate and manage project cargo shipments from origin to final destination.

Execute shipments involving Breakbulk, RoRo, Heavy Lift, OOG, Flat Rack, Open Top, and conventional cargo.

Monitor shipment milestones and ensure compliance with customer requirements and project timelines.

Maintain complete visibility of cargo movements and provide proactive updates to stakeholders.

Liaise with shipping lines, vessel operators, port authorities, transport providers, customs brokers, surveyors, and agents.

Coordinate cargo collection, transportation, port handling, vessel loading, discharge, and final delivery activities.

Arrange special equipment including cranes, trailers, hydraulic axles, low beds, SPMTs, and lifting gear when required.

Ensure proper cargo securing, lashing, and stowage arrangements are implemented.
Documentation Management

Review and verify shipping documents including:
-
Commercial Invoices , Packing Lists, Bills of Lading, Certificates of Origin

Customs Documentation, Cargo Manifests
-
Heavy Lift Method Statements, Lifting Plans, Survey Reports

Ensure timely preparation and submission of all operational and customs documentation.
Customs & Compliance
-
Coordinate customs clearance activities with the internal stakeholders / External Brokers and other regulatory authorities.

Ensure compliance with local and international trade regulations.

Verify permit requirements for oversized and heavy-lift cargo movements.

Monitor adherence to HSE and project-specific compliance requirements.
Customer Management
-
Act as the primary operational contact for assigned project shipments (Backup)

Provide regular shipment status reports and milestone updates.

Respond promptly to customer inquiries and operational challenges.

Participate in customer meetings and project kick-off discussions when required.
Vendor & Carrier Management

Coordinate with approved transporters, vessel operators, freight carriers, and subcontractors.

Monitor vendor performance and ensure agreed service levels are maintained.

Support procurement and commercial teams with operational requirements and technical assessments.
Risk Management

Identify potential operational risks and implement mitigation measures.

Escalate delays, damages, compliance issues, and operational exceptions promptly.

Coordinate contingency plans to minimize disruptions to project schedules.
Reporting & Systems

Update shipment milestones in the company operating system.

Maintain project files and shipment records.
-
Prepare operational reports, KPI reports, and shipment summaries.

Support post-project reviews and lessons learned exercises.
About You
-
Bachelor’s Degree in Logistics, Supply Chain or a similar discipline
-
Minimum 5 years of working experience in the project forwarding industry in the UAE.

Ability to review, interpret, and analyze shipment documentation, including packing lists, cargo specifications, drawings, and handling requirements to determine the most suitable logistics solutions.

Ability to coordinate with transport vendors, surveyors, ports, and project stakeholders to ensure safe and efficient cargo movement.
Strong understanding of project logistics processes, including pre-shipment planning, site coordination, documentation control, milestone tracking, and delivery execution.
Strong analytical and problem-solving skills with the ability to identify operational challenges and propose practical solutions.
