The Role

As our Resource / Traffic Lead, you are the strategic traffic controller of the agency. You aren't just filling schedules; you are taking the lead on our capacity.

You have a dual mandate: first, you are the master puzzle-solver for our shared Strength Centers (e.g., Design, Paid, Development) and the gatekeeper of our Flexible Layer (freelancers). Second, you act as the guardian of our overall agency planning health. While Project Leads are responsible for managing their own Unit’s capacity, you maintain the 'helicopter view'. You audit their planning, chase them when data is missing or unrealistic, and use these insights to strategically advise the Operations Director and Head of Operations on our hiring roadmap and capacity forecasting.

What you’ll do

  • You take the lead on the daily and weekly planning for all shared Strength Centers, allocating resources based on priority, skill set, and availability across all Units.
  • You lead the mediation when multiple Units compete for the same scarce resources, negotiating workable compromises with the Project Leads.
  • When internal capacity is full, you decide whether a request justifies bringing in a freelancer. You source, negotiate, and book the right talent from our flexible layer, always keeping project margins in mind.
  • You monitor the macro-planning across all Units. You proactively address if a Unit is consistently over-booked (risk of burnout) or under-booked (risk of bench time).
  • You drive planning hygiene. You hold the Project Leads accountable. If a Unit’s planning is incomplete, unrealistic, or not updated in Productive, you are the one chasing the PL’s to fix it before it impacts agency profitability.
  • Supported by the Operations Coordinator, you ensure the foundational data (timesheets, sick leave, allocations) is 100% accurate, serving as the single source of truth.
  • You provide the foundational data and capacity forecasts required for strategic decision-making. You supply the Operations Director with continuous insights on resource availability, acting as the primary input channel so the Operations Director can effectively land New Business without breaking agency capacity.
  • You don't just solve today's bottlenecks; you advise on tomorrow's solutions. You proactively advise the Head of Operations on when a structural capacity gap requires us to open a new vacancy.
