Job description

Office Manager On-site, Lausanne l Full-time l 12 Month-contract Our client is an innovative company in the health and longevity sector, dedicated to developing science backed solutions that support healthier lives. They are looking for an Office Manager / Executive Assistant to support the CEO and ensure the smooth day to day running of the office.

This is a hands-on role for someone who enjoys working in a fast paced environment, balancing executive support responsibilities with office management and operational coordination.

Responsibilities

  • Provide high level administrative support to the CEO, including calendar management, travel arrangements, and meeting coordination
  • Act as a key point of contact for internal and external stakeholders
  • Prepare presentations, reports, correspondence, and meeting materials
  • Manage office operations and ensure an organised, efficient, and welcoming workplace
  • Coordinate suppliers, service providers, and office related budgets
  • Organise team meetings, company events, and offsites
  • Support HR and onboarding activities for new employees
  • Assist with project coordination and follow up on key business initiatives
  • Handle confidential information with discretion and professionalism

Requirements

  • Previous experience as an Executive Assistant, Office Manager, or similar role
  • Strong organisational and multitasking abilities
  • Excellent communication and stakeholder management skills
  • Ability to work independently and proactively in a dynamic environment
  • High level of discretion and professionalism
  • Proficiency in Microsoft Office and other productivity tools
  • Fluent in English, French is a strong advantage
