The Executive Administrative Assistant will be responsible for performing a range of administrative duties, coordinating schedules, travel and events and helping prepare important documents and reports for executives. With exceptional attention to detail , the EAA will thrive in a fast-paced environment where organization, resourcefulness and flexibility are of the utmost importance.
You Will Be Part of Growing Team
You will provide daily support to Executive Management and coordinate with internal and external stakeholders, including executive assistants, consultants, partners, and other organizations that work closely with the leadership team. The role requires a proactive mindset, strong discretion when handling confidential information, and the ability to perform effectively under pressure while adapting to shifting priorities. Proficiency with technology and experience using collaboration tools are essential. Equally important are a positive attitude, excellent communication skills, and the ability to build and maintain strong relationships with both internal colleagues and external stakeholders. Your Challenge:
- Coordinate executive communications with internal and external stakeholders.
- Act as liaison between VP and cross-functional teams to ensure smooth communication and manage priorities effectively.
- Manage complex and ever-changing calendars by prioritizing meeting and appointment requests.
- Plan, facilitate and execute internal and external events, managing logistics, venues, agendas, and virtual coordination to deliver seamless, high‑quality experiences.
- Ensure meeting materials are accurate and ready in advance, create and maintain presentations, reports and spreadsheets.
- Prepare and share post meeting minutes and key updates, track action items through completion, and maintain shared files.
- Arrange domestic and international travel arrangements, prepare detailed itineraries and process expense reports.
- Process data entry and manage accounts receivable/payable for departmental operations.
- Prepare internal and external corporate documents and presentations, including conducting research, collecting and analyzing data, as needed.
- Support ad hoc project work by gathering data, project documentation, assisting with budget tracking, monitoring progress and ensuring deadlines and department goals are met.
- Be the team's go-to navigator in accessing resources in technology helpdesk, HR, facilities, etc. Includes maintaining and updating distribution lists, organizational charts, and access to other systems, as needed.

To Grow What Matters, You Will Need
- Minimum of 5-10 years of experience as an Executive Assistant reporting directly to Executive Management.
- Bachelor's degree or equivalent experience preferred.
- Advanced Microsoft Office skills, with an ability to become familiar with company-specific programs and software, such as travel and expense reporting systems.
- Positive attitude with a strong learning mindset and flexibility.
