Role Summary

We are looking for a Workplace Experience & Office Operations Partner who is high-energy, detail-obsessed, and tech-curious. You will be the “powertrain” of the Berlin office, ensuring our local team feels deeply taken care of - whether they’re long-standing employees, new joiners, visiting executives and partners, or engineers flying in for a workshop.

Responsibilities

  • Workplace & Office Experience

    • Culture Catalyst: Coordinate team events and our Monthly Townhalls, plan the bigger moments like our summer party, and create the everyday details that make people want to come into the office.
    • The Host: Order catering, keep the kitchen stocked, the coffee flowing, and the space on-brand. Act as the local Point of Contact for executive visits from the US and visits from our brands, managing logistics, food, travel recommendations, and the general on-site experience.
    • Vendor & Site Ownership: Be the primary POC for Berlin (and potentially Sweden) on landlord, vendor and maintenance requests — Hausmeister, cleaning crews, general upkeep. Manage physical access (keys/fobs), visitor logs, and manage vendor invoices to ensure we get the best value for the team.
    • Safety & Compliance: Act as the local POC for occupational health and safety, spanning Brandschutz, First Aid, the Betriebsarzt, and the Berufsgenossenschaft.
  • Event Operations & Communications Support

    • Events & Programs: Coordinate local and remote Townhalls (EU and global), manage presentation lifecycle, polish visuals for an audience-ready product, and help evolve the format to be more interactive with moderating included if you’re up for it. Organize and host on-site workshops and demos, and maintain the local events calendar.
    • Internal Communications: Support and coordinate team announcements and updates that keep Berlin and Sweden informed and aligned.
  • IT & Asset Management Coordination

    • Extended Hand for IT: Serve as the local extension of our IT Team (based in Belgrade) by coordinating hardware and supporting the team in managing the assets locally.
  • People Team Partnership

    • The People Team’s “Right Hand”: Provide first-level support for local HR administration - handling ad-hoc employee queries, and managing incoming post in support of our Senior HRBP.
    • The “Wow” Onboarding: Curate the welcome experience for new joiners. You’ll own pre-boarding communications, prepare everything for their first day, add them to onboarding events and announcements, and connect them with their new colleagues.
  • Expat & Relocation Support: Be the local extension supporting our international hires in navigating the quirks of Berlin.

Qualifications

  • Language Mastery: You are fluent in both German and English (written and spoken) and you can navigate German bureaucracy easily.
