Core Purpose
- Provide high-level administrative and organisational support to the Subsea Services Director, ensuring the effective coordination of schedules, communications, meetings, travel arrangements and confidential business matters.
- Proactively manage and follow up on agreed actions and deadlines, helping to ensure priorities are progressed effectively and on time.
- Provide additional support to the Commercial Director and Finance Director as required, including coordinating follow-up actions arising from the Divisional Management Team.
Key Responsibilities and Accountabilities
- Manage complex diaries, appointments and meeting schedules for senior executives, ensuring effective coordination and prioritisation of commitments.
- Prepare and coordinate agendas, presentations, reports, meeting minutes and professional correspondence.
- Coordinate domestic and international travel arrangements, including accommodation, itineraries and associated logistics.
- Act as a key point of contact for internal and external stakeholders, ensuring professional and effective communication.
- Coordinate and organise leadership and board meetings, as well as company events, ensuring all arrangements are managed effectively.
- Maintain confidential records and sensitive information, always ensuring the highest level of discretion and professionalism.
- Maintain strict confidentiality and exercise discretion when handling sensitive commercial, employee and financial information, ensuring it is shared only with authorised individuals and in accordance with company policies.
- Support the preparation and coordination of reports, budgets and other key business documentation.
- Track agreed actions and deadlines, providing timely follow-up with action owners to support effective completion and accountability.
- Coordinate Sustainability and KPI reporting on a temporary basis, ensuring effective management and continuity until responsibility is transitioned to the appropriate owner.
- Support the continuous improvement of administrative processes and systems, identifying opportunities to enhance efficiency and effectiveness.
QHSE Responsibilities
To have a general understanding of the areas of our QHSE Management System and OEG’s QHSE aims and objectives that are relevant to the role.
Comply with the requirements of OEG Energy Group Policies and the responsibilities within the wider QHSE Management System.

Skills and Experience
- Previous experience in an Executive Assistant, Personal Assistant or similar senior administrative support role.
- Strong knowledge of office administration, diary management, meeting coordination and travel booking processes.
- Excellent organisational and time management skills, with the ability to effectively prioritise multiple tasks and deadlines.
- Strong written and verbal communication skills, with the ability to communicate professionally and effectively with a range of stakeholders.
- Strong proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint and Teams.
- Ability to handle sensitive and confidential information with a high level of discretion and professionalism.
- Proven experience providing high-level administrative and organisational support to senior management or executive teams.
- Experience working within an international or matrix organisation would be advantageous.
- Excellent command of both Dutch and English, with strong written and verbal communication skills in both languages.
Qualifications
- MBO+/HBO level, with a relevant qualification in Business Administration, Office Management, Secretarial Support or a related discipline, or equivalent practical experience.
