Key Responsibilities:
Observerships & Electives
- Coordinate and manage observership and elective programs for local and international medical and allied health students.
- Respond promptly to inquiries related to observerships and electives.
- Support onboarding and offboarding processes, ensuring all required documentation is completed.
- Maintain accurate records and trackers for trainees and program participants.
- Prepare and issue acceptance letters, completion certificates, and related documentation.
Internship & Residency Programs
- Work closely with the Head of Medical Education to support internship and residency programs.
- Respond to program-related queries from trainees and stakeholders.
- Maintain trainee records, including onboarding, offboarding, attendance, and training documentation.
Clerkship & Faculty Administration
- Maintain and update clerkship records for Year 4 and Year 5 medical students.
- Manage faculty records and ensure information is kept current and organized.
- Coordinate communication between faculty members, trainees, and academic institutions.
General Administration
- Manage printing, scanning, filing, and document control activities for all education programs.
- Support the Medical Education Facilitator in the development and enhancement of educational initiatives.
- Act as a liaison between departments, trainees, universities, and external stakeholders.
- Ensure compliance with hospital policies, procedures, and regulatory requirements.
- Assist in preparing reports, maintaining databases, and supporting accreditation and quality initiatives as required.
Qualifications & Experience
- Bachelor's degree in Healthcare Administration, Education, Business Administration, or a related field.
- Minimum 2 years of administrative or coordinator experience, preferably within a healthcare, academic, or educational environment.
- Experience coordinating training, academic, internship, or residency programs is highly desirable.
- Strong organizational and time management skills with excellent attention to detail.
- Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
- Excellent written and verbal communication skills in English.
- Ability to manage multiple priorities and work collaboratively with diverse stakeholders
