Job description

Key Responsibilities:

Observerships & Electives

  • Coordinate and manage observership and elective programs for local and international medical and allied health students.
  • Respond promptly to inquiries related to observerships and electives.
  • Support onboarding and offboarding processes, ensuring all required documentation is completed.
  • Maintain accurate records and trackers for trainees and program participants.
  • Prepare and issue acceptance letters, completion certificates, and related documentation.

Internship & Residency Programs

  • Work closely with the Head of Medical Education to support internship and residency programs.
  • Respond to program-related queries from trainees and stakeholders.
  • Maintain trainee records, including onboarding, offboarding, attendance, and training documentation.

Clerkship & Faculty Administration

  • Maintain and update clerkship records for Year 4 and Year 5 medical students.
  • Manage faculty records and ensure information is kept current and organized.
  • Coordinate communication between faculty members, trainees, and academic institutions.

General Administration

  • Manage printing, scanning, filing, and document control activities for all education programs.
  • Support the Medical Education Facilitator in the development and enhancement of educational initiatives.
  • Act as a liaison between departments, trainees, universities, and external stakeholders.
  • Ensure compliance with hospital policies, procedures, and regulatory requirements.
  • Assist in preparing reports, maintaining databases, and supporting accreditation and quality initiatives as required.

Qualifications & Experience

  • Bachelor's degree in Healthcare Administration, Education, Business Administration, or a related field.
  • Minimum 2 years of administrative or coordinator experience, preferably within a healthcare, academic, or educational environment.
  • Experience coordinating training, academic, internship, or residency programs is highly desirable.
  • Strong organizational and time management skills with excellent attention to detail.
  • Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Excellent written and verbal communication skills in English.
  • Ability to manage multiple priorities and work collaboratively with diverse stakeholders
