In Europe, Solinteg is expanding rapidly with local teams providing sales, service, and technical support. We are now strengthening our team in Germany to support our growing business activities.
The Role
We are looking for an experienced Administration & HR Specialist (m/f/d) to support and coordinate our day-to-day administrative and human resources activities. The ideal candidate is highly organized, reliable, and proactive, with experience in HR administration, employee support, office management, and coordination of external service providers.
The role requires a hands-on approach, strong attention to detail, and the ability to independently manage multiple tasks while working closely with employees, management, external partners, and service providers.
Key Responsibilities
· Manage and coordinate daily administrative and office operations
· Support HR administration throughout the employee lifecycle, including, hiring processes, onboarding and offboarding
· Maintain and organize employee records, contracts, HR documents, and personnel files
· Prepare HR-related documents, letters, certificates, and other employee documentation
· Support recruitment activities, including job postings, candidate coordination, and interview scheduling
· Coordinate onboarding activities and ensure new employees receive the necessary information, equipment, and documents
· Support employees with HR-related questions and administrative matters
· Coordinate with external HR, payroll, legal, and other service providers when required
· Monitor and maintain HR policies, guidelines, and internal procedures
· Support payroll-related processes by collecting and providing relevant employee information and documentation
· Manage office supplies, equipment, services, and facility-related requirements
· Coordinate with suppliers, service providers, and other external partners
· Organize business travel, accommodation, meetings, and company events when required
· Support invoice processing, expense documentation, and other administrative processes in cooperation with Finance
· Maintain accurate records and ensure confidentiality of HR and administrative information
· Support management and the team with various HR, administrative, and operational projects
Requirements
· 3+ years of professional experience in HR administration, office administration, personnel administration, or a related field
· Previous experience in HR processes and employee administration
· Bachelor’s degree or completed vocational training (Ausbildung) in a relevant field; equivalent professional experience will also be considered
· Strong organizational and time-management skills with the ability to manage multiple priorities independently
· Excellent communication and interpersonal skills
· High attention to detail and a structured, reliable, and solution-oriented working style
· Good knowledge of Microsoft Office, especially Excel, Word, and Outlook
· Experience with HR, or document-management systems is an advantage
· Good knowledge of German employment and HR administration processes is an advantage
· Fluent in English; good knowledge of German
· Ability to handle confidential information professionally and discreetly
· Ability to work independently, take ownership of tasks, and proactively follow up
· Willingness to work in an international and fast-paced environment
