Job description

Job Responsibilities

  • For new startup company (Production & Warehouse each 22000sqf)

Operations & HQ Coordination

Coordinate closely with HQ on operational matters and ensure effective implementation of HQ directives and requirements.

Support local operations by coordinating with relevant departments, vendors and external parties.

Assist with arrangements for HQ delegates, including accommodation and local transportation.

Facilities & Workplace Management

Oversee the day-to-day management of company facilities, utilities and workplace conditions to ensure a safe, clean and operational environment.

Coordinate with landlords, vendors and service providers on maintenance, repairs, tenancy matters and facility-related issues.

Monitor housekeeping, cleanliness and hygiene standards across the workplace.

Logistics & Supply Chain Coordination

Coordinate with HQ and local logistics partners on container shipments, deliveries and transportation arrangements.

Liaise with hauliers and vendors to ensure timely container clearance, loading/unloading and movement of goods.

Monitor vendor deliveries and ensure goods and services are delivered according to agreed requirements.

Regulatory & Compliance Management

Support the submission of statutory and regulatory requirements, including quarterly GST filings with IRAS (preparation will be done by China HQ Finance).

Coordinate environmental and regulatory compliance activities, including cooling tower water treatment, water sampling and related submissions to NEA.

Ensure operational activities are conducted in accordance with applicable regulatory and company requirements.

Safety & Operational Standards

Monitor workplace safety standards and support compliance with relevant workplace safety and health requirements.

Promote good safety practices among employees, contractors and part-time workers.

Ensure operational areas remain safe, clean and suitable for production activities.

Vendor & Workforce Coordination

Manage day-to-day coordination with vendors and service providers to ensure smooth delivery of operational services.

Coordinate the deployment of part-time workers and ensure proper onboarding, including workplace safety requirements and job responsibilities.

Monitor service quality and address operational issues with relevant vendors in a timely manner.

Administrative & Financial Support

Review and verify vendor invoices and supporting documents before submitting them to HQ for payment processing.

Maintain proper operational records, documentation and reports.

Provide administrative and operational support to management as required.

Other Responsibilities

Perform other duties as assigned from time to time.

Job Requirements

Minimum a Diploma in Business Administration, Business Management, Operations Management, Facilities Management, or a related discipline.

Minimum 3 years of experience in managing factory, warehouse and administrative operations.

Familiar with production, office facilities, warehouse and admin operations.

Good leadership, communication, and team management skills.

Strong sense of responsibility, attention to detail, and ability to handle work independently.

Knowledge of workplace safety practices related to office, production and warehouse operations.

A hands-on person who is willing to work on the ground.

Ability to communicate in Chinese (Mandarin) to liaise with Chinese-speaking associates and suppliers, and to use systems and read work instructions available in Chinese.

Candidates with relevant experience may be considered for a higher position.

5 days’ work week (Would be required to support on weekends if needed, and shall be compensated with Off-In-Lieu)
