Your team

As Chief Operating Officer (m/f/d) at Noxtua, you will own how the company runs — and how it becomes increasingly automated. Noxtua has grown from a research project into Europe's sovereign Legal AI, with offices in Berlin, Munich, Paris and Zagreb, exclusive partnerships with the leading legal publishers in six countries, and around €81 million raised in our Series B. The next phase is about turning that momentum into a process-driven, AI-enabled operating model that scales without losing speed — and that is your mandate.

You will build and run Noxtua's internal operating system: planning and goal-setting, business operations, and the People, Finance and IT functions that everything else depends on. A core part of the role is to identify repeatable workflows, simplify them, and use AI-driven automation to make the organisation faster, more transparent and less dependent on manual coordination. You will be the person who makes sure decisions get made, commitments get tracked, and the organisation stays coherent as it grows across markets.

You will report to Dr. Leif-Nissen Lundbæk, CEO and Co-founder of Noxtua, and work as his closest operating partner — freeing him to focus on brand, partnerships, capital and the European AI sovereignty agenda. Your peers on the leadership team are the CTO, the Chief Product Officer, and the Chief Communications Officer.

About you

  • 15+ years of experience, including at least 5 years in a COO, VP Operations, or equivalent senior operating role at a high-growth B2B software or SaaS company
  • Strong practical experience using AI and AI-driven automation to redesign business processes, reduce manual work, improve decision quality, and create scalable operating leverage across functions
  • You have taken a company through a scaling phase — ideally somewhere in the 100–500 employee range — and built the operating rhythm that made it work
  • Track record of owning cross-functional functions (some combination of People, Finance operations, Business Operations, IT, Legal operations, PMO)
  • You are process-driven and systems-oriented: you map workflows end to end, define ownership and metrics, remove complexity, and build automation-first ways of working rather than adding headcount by default
  • Comfortable in regulated, certification-heavy environments **(**ISO 27001, C5, TISAX or equivalent) and with what compliance genuinely costs an organisation to maintain
  • Strong commercial and financial literacy — budgeting, forecasting, headcount planning, and board-level reporting and experience operating across multiple European markets and cultures. You are a builder and comfortable with being hands-on.
  • Full professional proficiency in English is required, and German is a strong plus.

Your responsibilities

  • Own company-wide planning, goal-setting and the review rhythm — so that strategy turns into commitments, and commitments get tracked to completion.
  • Organisational scaling. Design the structure, roles and processes that let Noxtua grow across markets without fragmenting.
  • AI-enabled process transformation. Proactively identify where AI agents, workflow automation and better tooling can increase speed, quality and accountability across People, Finance, Legal, IT, GTM and leadership operations. Unblock the work that spans Engineering, Product, GTM and Communications — and make the hand-offs between them work.
  • Business operations and automation. Own the internal systems, data, reporting, and automation layer that leadership runs the company on; turn recurring manual workflows into scalable, AI-enabled processes.
  • People & culture. Partner with HR on hiring plans, org design, performance, and keeping the culture intact through growth.
  • Finance operations. Budgeting, forecasting, and headcount planning alongside Finance; cost discipline as the company scales.
  • Governance, risk & compliance. Keep Noxtua's certifications (ISO 27001, 9001, 27017, 27018, 42001, BSI C5, TISAX) audit-ready as a continuous process, not an annual scramble.
  • Board & investor reporting. Prepare the operating view of the business for the CEO, the board and our Series B investors.
  • CEO partner. Be the operating counterpart to the CEO — the person who turns intent into execution.
