Job description

We are adding a Junior Program Coordinator to our team to help manage a new engagement with our partner in Berlin. In this role, you will help bridge the gap between our technical team and the client, ensuring that the internal tools we are building stay on schedule and meet the requirements. This is a chance to learn how software projects are managed from the ground up while working in a fully remote environment.

About Pixel Systems Pixel Systems is a small software agency that builds the tools teams actually use to get work done. We do not build flashy consumer apps or marketing sites. Instead, we focus on the practical stuff: admin panels, CRM integrations, and the database migrations that people usually try to avoid. Our clients come to us when they need to replace a sprawling spreadsheet with a real database or get their different software tools to finally talk to one another.

We believe that working code is better than a perfect plan that never ships. Our approach is straightforward. We provide fixed quotes before we start, we do weekly demos, and we hand over everything (the code, the documentation, and even walkthrough videos) when we are finished. We use reliable, well-tested technologies like Node, React, and Postgres because we want the software we build to be stable and easy to maintain. We are a team of senior developers and designers who prefer solving real operational headaches over chasing the latest trends.

The Role As a Junior Program Coordinator, you will spend your time organizing the moving parts of our development cycles. You will be responsible for keeping our project boards updated and making sure that the developers have the information they need from our Berlin-based partner. This is not about managing people, it is about managing tasks, timelines, and communication.

On a day-to-day basis, you will:

  • Monitor project progress and update task statuses in our tracking tools.
  • Attend daily internal syncs to identify any blockers that might slow down the team.
  • Help prepare materials and agendas for our weekly client demos.
  • Draft clear, concise project updates for the partner team in Berlin.
  • Assist in creating documentation and walkthrough guides for the tools we ship.
  • Ensure that all project files and client communications are organized and easy to find.
  • Follow up on outstanding questions between our developers and the client.

What You Bring We are looking for someone who is naturally organized and enjoys creating order out of clutter. Since this is an entry-level role, we do not expect you to be a seasoned project manager, but we do expect you to be diligent and attentive to details. You should be comfortable working independently in a remote setting and be able to communicate clearly through writing.

We need you to be:

  • A clear writer who can explain technical progress in plain English.
  • Methodical in how you track tasks and deadlines.
  • Comfortable asking questions when you do not understand a technical term or process.
  • Reliable and consistent in your daily work habits.
  • Helpful and proactive in identifying things that need to be organized.
  • Capable of handling multiple small tasks without letting things slip through the cracks.

Helpful Background While not strictly required, it is helpful if you have some familiarity with the world of software development. You do not need to be a coder, but having a basic understanding of how things work will help you in your daily coordination tasks. This position is a permanent, full-time role that is paid, and we offer a salary that is competitive for the current market.

Useful experience includes:

  • Basic familiarity with tools like Trello, Jira, or similar project boards.
  • An understanding of what GitHub is used for.
  • A general idea of what databases (like Postgres) and APIs do for a business.
  • Previous experience in a role that required heavy scheduling or coordination.
  • Basic knowledge of how remote teams stay in touch using tools like Slack or Zoom.

Working at Pixel Systems Working here is different from working at a large corporation. We have a flat structure with no layers of middle management. You will work directly with the developers who are building the software. Because we are a fully remote company, we value results and clear communication over hours spent sitting in front of a webcam. We plan our work so that it can be completed within normal business hours, and we respect your time away from the keyboard.

We are a team that values honesty and pragmatism. We do not have office politics or unnecessary meetings. We focus on shipping work that solves real problems for people like warehouse managers and operations teams. You will see the direct impact of your coordination as projects move from the planning stage to being tools that a client actually uses every day.

Pixel Systems is a place for people who want to do their work well and without drama. We provide a stable environment where you can learn the ropes of project coordination while helping us build high-quality internal systems for our partners.
