Job Title Facility Manager Job Description Summary This role will be responsible for the overall Integrated Facility Management of SUSS IFM project. Job Description

ROLES AND RESPONSIBILITIES:

The Manager is the overall in charge of site operation as the role of supervisor and leader. He is the Head of the whole workforce for this Project. Other staff on-site will carry out work under his supervision. Any instructions given by SUSS to the Manager and all other site staff shall be deemed to be the University’s instructions and shall carry them out satisfactorily and expeditiously.

The manager shall work closely with all personnel on site, including all administrative personnel to ensure that all requirements under this Contract are met and daily operations for SUSS are functioning smoothly.

The manager shall be in-charge of general logistics and deployment of the Contractor’s staff.

The manager shall perform other administrative duties which become necessary such as attending meetings, preparing quotations and proposals, submitting sets of updated drawings, etc.

The manager has to communicate well in English (both spoken & written) and is expected to always establish good working rapport with users and to attend to appointment promptly. The Manager shall have SUSS to mobilize, plan and arrange for resources to carry out work as instructed by the SUSS. He shall supervise and report back to SUSS upon completion of work.

He shall possess good presentation and writing skills that require clear and detailed communication for monthly reporting, incident reporting, meeting minutes and other reporting stipulated in the contract.

He shall assist the client (SUSS) in carrying out an energy management programme such as monitoring and improving the efficiency of energy usage in the Premises.

The key responsibilities shall include but not limited to:

  • Plan and execute the Schedule of Programmed Maintenance as required in the IFM contract.

  • Plan and monitor the corrective Maintenance to meet the IFM contract requirement.

  • Ensure tight milestones, KPI’s and targets are met promptly.

  • Monitor and manage Helpdesk, ensuring timely response and adherence to performance standards.

  • Submission of monthly report per FM monthly performance reporting regime.

  • Prepare and/or update manuals, reports on timely as required for submission to Client.

  • Review and update SOPs and processes to strengthen FM operations.

  • Review and develop measures to meet the Operations requirement.

  • Communicate and engage with internal and external customers, vendors, tenants, etc.

  • Build and maintain good relationship with clients and key stakeholders.

  • Review, manage, and ensure timely renewal of all service contracts, maintaining compliance with contractual obligations

  • Take accountability and Ownership of Workplace Safety & Health (WSH) standards and outcomes in building up a safety culture.      

  • Communicate and engage with internal and external customers, vendors, tenants, etc.

  • Undertake any other related duties and responsibilities as assigned by the Immediate Supervisor and/or Higher Management within C&W.

The staff shall have the following minimum qualifications and experiences:

Academic Qualification:

  • At least Diploma in Mechanical/Electrical Engineering, Estate/Facilities Management, Building Science or equivalent

Years of relevant working experience:

  • At least 10 years

Years of relevant supervisory experience:

  • At least 5 years
