Job description

Job Purpose

Assist the Project team in Awareness of and Compliance with Contract Requirements (signed with Client), Anticipate Risks and help Project Managers/ Project Directors (PMs/PDs) in preparation of Claims and contractual correspondences.

Principal Accountabilities

Policies, Processes & Procedures

• Adhere to organizational policies and procedures to ensure compliance and maintain a productive work environment.

• Implement and uphold safety and security protocols to protect the well-being of all employees and company assets.

Main Areas of Responsibility

• Review various contractual documents as directed by and under the supervision of the Director, Commercial Contracts (“DCC”).

• Assist the Project Managers/Project Directors and DCC in the negotiation of variations with the Clients’ agents.

• Review Variation Orders (VOs) received from Clients, highlight any risk in the terms of VOs and propose required amendments.

• Review VOs issued by the Commercial team to the Subcontractors for validation.

• Assist Commercial teams at sites in dealing with major Subcontract Agreements and Vendors’ claims.

• Assist in preparation of correspondences to Client(s), including Claim Notices and Claim Particulars in coordination with Project Planner for EoT claims.

• Organize and monitor tracking logs issued by site teams and ensure dispatching to all concerned.

• Organize and monitor the Project risk register and monitor mitigation by the site team.

• Implement Contract Management procedures, workflows and practices for improvement of business processes, cost reduction and productivity improvement.

• Assist in monitoring projects’ performance with respect to compliance with Contractor’s rights and obligations.

• Prepare Monthly Dashboard for Variations, Claims and Disputes / Recommendations.

• Coordinate and attend Commercial / Contracts meetings with Client’s agents and internal site teams.

• Advise on projects handover and closeout and assist in obtaining Taking Over Performance Certificates.

Required Academic Qualification

Qualification: Bachelor’s Degree

Category: Architectural / Civil Engineering

Other Requirements

• Technical & Construction experience on infrastructure sites

• Claims experience and familiarity with legal terminologies

• Face-to-face communication preference and compliance with superior guidelines

• Fluency in English language (speaking and writing)

• Proficiency in MS Office (Excel, Word, PowerPoint)

Years of Experience

• 10 – 12 years of experience, including at least 7 – 8 years as Contracts Administrator / Manager
