Project Administration Manager – Oil & Gas (EPC)

About the Role

NSH Saudi Arabia is seeking an experienced Project Administration Manager to oversee all project administration functions for large-scale Oil & Gas EPC projects. The ideal candidate will ensure smooth coordination between project teams, clients, subcontractors, and corporate departments while maintaining compliance with project requirements, company policies, and contractual obligations.

Key Responsibilities

  • Manage all project administration activities throughout the project lifecycle.
  • Coordinate with Project Managers, Construction Managers, Engineering, Procurement, HR, Finance, and Commercial teams to ensure efficient project execution.
  • Maintain project documentation, records, correspondence, and document control systems.
  • Monitor project manpower mobilization, onboarding, accommodation, transportation, and administrative support.
  • Prepare and manage project reports, dashboards, meeting minutes, and progress updates.
  • Coordinate with clients and subcontractors regarding administrative and contractual documentation.
  • Ensure compliance with company policies, client requirements, and project procedures.
  • Support project budgeting, cost tracking, invoices, timesheets, and resource planning.
  • Oversee office administration, logistics, travel arrangements, and site facilities.
  • Manage vendor and subcontractor documentation and coordinate approvals.
  • Support audits, inspections, and quality management activities.
  • Identify administrative risks and implement process improvements to enhance project efficiency.
  • Lead and supervise the project administration team to ensure timely delivery of administrative support.

Requirements

  • Bachelor's Degree in Business Administration, Engineering, Project Management, or a related discipline.
  • Minimum 10–15 years of experience in Project Administration within Oil & Gas, Petrochemical, or EPC projects.
  • Minimum 5 years in a managerial or supervisory role.
  • Strong experience in large-scale EPC construction projects.
  • Excellent knowledge of project administration, document control, contracts, and reporting.
  • Proficiency in MS Office and ERP systems such as SAP, Oracle, or similar platforms.
  • Strong communication, coordination, leadership, and organizational skills.
  • Experience working with Saudi Aramco, SABIC, ADNOC, or other major Oil & Gas clients is preferred.
  • Gulf/Middle East experience is highly preferred.
