Job description

This role will be based at Bugis Junction office. 

We are looknig for a Senior Operations Executive to join our Operations team to support events in Singapore. 

The Senior Operations Executive plays a pivotal role in ensuring seamless delivery of exhibition projects. This position requires proactive ownership, accountability, and the ability to manage multiple stakeholders while maintaining high standards of operational excellence.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Exhibitor manual management: Prepare and manage the Online Exhibitor’s Manual.

  • Software proficiency: Be conversant with the various software programs utilized throughout the company.

  • Contractor coordination: Work closely with/manage appointed contractors to ensure smooth coordination of exhibition operations, including pre-show briefings.

  • Technical expertise: Be technically conversant with stand building, floor plan layouts, and electrical/telco services required on-site.

  • Venue and supplier management: Work closely with venue owners, contractors, and suppliers to ensure smooth operations.

  • Organizer’s facilities design: Design and implement, in consultation with the Operations Manager, the organizer’s facilities and exhibitor stand packages, ensuring compliance with regulations.

  • On-site office management: Manage the site office and oversee on-site billing.

  • Showtime operations: Oversee operational aspects during show time, including Opening Ceremony, conference set-up, meeting room set up, shuttle bus schedules, parking arrangements, emergency procedures etc.

  • Signage management: Propose and coordinate relevant signage for on-site needs, ensuring timely construction.

  • Problem resolution: Solve operational problems quickly and effectively, maintaining strong customer relations.

  • Post-show review: Handle post-show matters and reviews, ensuring prompt invoicing and proper archiving of files.

  • Workplace safety: Ensure compliance with Workplace Safety guidelines.

  • Process improvement: Identify opportunities to streamline workflows and implement best practices.

  • Sustainability initiatives: Support environmentally responsible practices in exhibition operations.

  • Bachelor’s Degree in Business/Administration/Hospitality/Tourism/Hotel/Event Management and/or equivalent

  • Minimum 3 years of relevant experience in Events/Exhibitions/MICE industry

  • Strong experience in managing relationships with contractors and external vendors

  • Able to work independently when need be and team orientated

  • Ability to negotiate effectively with vendors

  • Attention to detail

  • Strong interpersonal, communication skills and time management skills

  • Proficient with Microsoft Office (especially Excel and Word)

  • Proven ability to work collaboratively with others
