Job description

Family Group: Administration

MAIN DUTIES AND RESPONSIBILITIES

Managerial Duties

Lead and manage administrative teams across multiple service locations and functions as follows:

Contact Centre

Case Scheduling

Counter Operations

Records Office

Ensure optimum manpower allocation, rostering and adequate operational coverage.

Conduct performance management, staff engagement, and capability development.

Ensure efficient workflows to meet hospital service standards.

Monitor operational KPIs and implement corrective actions where necessary.

Appointment Scheduling and Access Management

Lead scheduling operations for all radiology services.

Ensure effective coordination with internal clinical stakeholders and external service providers (e.g. outsourced MRI, PET services) to ensure timely scheduling of cases.

Coordinate with clinical team and referring clinics to ensure efficient resource allocation.

Frontline Operations and Patient Experience

Oversee patient-facing services:

Registration

Financial counselling

Cashiering

Enquiries

Drive service excellence initiatives to enhance patient experience.

Ensure adherence to service standards and waiting time targets.

Manage patient feedback and attend to necessary service recovery.

Records and Information Management

Oversee medical record services:

Image/report/thumb drive requests

Inward and outward result despatches

Ensure consistent record-keeping in compliance with PDPA, data governance, and institutional policies.

Quality Improvement and Innovation

Drive continuous improvement initiatives (e.g. workflow redesign, digitalisation).

Participate in quality assurance, audits, and accreditation processes.

Implement best practices to improve efficiency, patient safety, and service delivery.

Stakeholder and Vendor Management

Collaborate with radiologist, radiographer and nursing teams.

Partner with other hospital departments.

Reporting and Governance

Track and analyse operational data and trends.

Assist in the preparation of reports and statistics.

Budgeting, Procurement and Vendor Management

Support budgeting, procurement, and departmental planning.

Manage external vendors and service providers to meet contractual KPIs.

Experience:

Minimum 6–8 years of relevant healthcare operations experience, preferably in radiology related field.

At least 2–3 years in a supervisory/managerial capacity.
