Administrative Support (60-100%)
Hansa Aktiengesellschaft is seeking a proactive and highly organised Administrative Support professional to provide day-to-day administrative assistance across the Group. The role supports the smooth operation of the office and works closely with the finance, legal and management teams in a dynamic international environment.
Key Responsibilities
- Provide general administrative support to a number of legal entities in Switzerland and abroad
- Coordinate meetings, calendars and travel arrangements
- Prepare, format and maintain correspondence, presentations and corporate documents.
- Maintain accurate filing systems, records and databases
- Assist with document management, contracts and corporate records
- Coordinate with external service providers and business partners
- Support invoice processing, expense administration and general office coordination
- Assist with Board and committee meeting logistics and documentation
- Undertake ad hoc administrative and organisational tasks as required
Profile
- Previous experience in an administrative, executive support or office management role
- Excellent organisational skills and strong attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Professional, discreet and reliable with a service-oriented mindset
- Strong written and verbal communication skills in English; German is an advantage
- Proficient in Microsoft Office (Outlook, Word, Excel and PowerPoint)
- Ability to work independently while collaborating effectively within a small, high-performing team
