About CMB Swiss Co GmbH
CMB Swiss Co GmbH is the Swiss-based sourcing affiliate of CMB Regional Centers, one of America's most established investment immigration programme operators headquartered in the United States. Operating from Schaffhausen, our team manages cross-border business development and partner relations across Asia, Europe, Africa and The Americas. We are a small, international, and highly professional team offering a dynamic working environment.
Your Role
Reporting directly to the Managing Director, you will take ownership of finance-related administrative tasks, coordinate travel logistics, and support the broader team in day-to-day operations. Given the international nature of our business and the sensitivity of the financial and investor information you will handle, we place particular value on discretion, reliability, and sound judgement. This is a hands-on role for a well-organised professional who is equally comfortable working independently and as a collaborative member of a small, geographically dispersed team.
Key Responsibilities
Accounts Payable
• Process, review, and code incoming supplier invoices accurately and on time
• Prepare and execute payment runs via e-banking
• Maintain and update the vendor database and payment records
• Liaise with the external accountant / fiduciary on bookkeeping and compliance matters
Travel Planning
• Arrange flights and hotel bookings for team members as needed
• Prepare and manage visa and entry documentation for international travel
• Ensure travel logistics are coordinated efficiently and cost-effectively
Travel Expense Management
• Collect and review employee expense reports for completeness and accuracy
• Prepare periodic expense summaries and reports for management review
General Office Administration
• Manage calendars, schedule meetings, and coordinate appointments
• Draft and handle correspondence in German and English
• Maintain and update CRM and contact databases
• Manage office supplies, vendor relationships, and facilities coordination
Your Profile
• 3–5 years of experience in an administrative, office management, or assistant role
• Solid understanding of accounts payable processes and basic bookkeeping
• Completed commercial apprenticeship ( KV-Abschluss / EFZ Kaufmann•Kauffrau ) or an equivalent qualification from an internationally recognised business or administrative programme
• Proficiency in Microsoft 365 (Word, Excel, Outlook, Teams, Sharepoint)
• Some experience with accounting software (Abacus) and expense management (Concur) helpful
• Excellent written and spoken English (primary working language); German at C1 level or above; Spanish is an advantage
• Strong organisational skills
• Comfortable working independently in a small international team
• High degree of discretion when handling confidential financial and business information
