Assistant Building ManagerJob Description Summary

Oversees the Hard & Soft services aspect of the FM operation

Single point of contact for tenant management – feedback, fit-out works, reinstatement works

Manage subcontractors and scheduling of maintenance services

Respond to faults and complaints from tenants and users, and provide resolution to these issues

  • In consultation with the Hard Services and Soft Services team, ensure detailed routine, preventative, corrective, and reactive maintenance planners are followed, and executed safely without affecting day-to-day operation and availability.
  • To investigate and respond to complaints from members of the public when they relate to facilities and service delivery.
  • To conduct an incident investigation and submit IR/IIR after identifying root cause with recommended corrective action in place.
  • Manage handing over and taking over of tenant units including joint inspection, reinstatement, and defect clearance. Incoming tenant fit-out processes including plan submission, review coordination, and Authority approval including utility connections (electricity, water, air-conditioning) and ensure proper documentation and meter readings
  • Act as key liaison between tenants, stakeholders, and Authority to ensure smooth communication, extension requests, access permits and issue resolution. Manage requirements to ensure compliance with the Singapore Standard Code of Practice.
  • Manage in-mall advertising spaces including allocation, bookings, approvals, and installation monitoring. Ensure compliance with advertising guidelines and maintain updated inventory records
  • Perform duties as the appointed Senior Fire Safety Manager (SFSM) for the premises. Ensure compliance with all fire safety regulations, SCDF requirements, and statutory obligation
  • Always ensure that fire safety requirements contained in the Emergency Response Plan are complied with.
  • Review fire alarm isolation and safety requirements for events and tenant works
  • Train, coordinate and supervise the Company Emergency Response Team for the premises in first-aid, firefighting and evacuation in the event of a fire or other related emergencies.
  • Train the occupants on first aid, firefighting, and evacuation in the event of a fire or other related emergencies.
  • Conduct at least 2 Table-Top Exercises (TTX) within the premises each year and to evaluate, together with the Fire Safety Committee, the effectiveness of the Arson Prevention Plan and the Emergency Response Plan for those premises.
  • Perform any related duties as required and directed.
  • Take accountability and ownership of Workplace Safety & Health (WSH) standards and outcomes in building up a Safety Culture.
  • Provide advice during the consultation with event teams on approval of event plans in ensuring fire safety compliance. (Width & number of emergency aisle ways available, occupancy load of seated or standing patrons on pitch/ arena, any setup within circulation zone, review of setup with additional fire load etc)
  • Review and endorsement of finalised event plan for event hirers including tenants- retail/ restaurant. Temporary Change of Use application through SCDF.
  • Review pyrotechnic/ fireworks requirements (Location of pyro, type of pyro and the number of pyro shots) for events to ensure fire safety compliance and safety of patrons based on indoor/outdoor pyro requirements and limitations stipulated in the Our Tampines Hub Fire Engineering Report. To issue a "No Objection Letter" to the event hirer for SPF approval.
  • Conduct joint pre-event safety checks during events for both Our Tampines Hub as per roster.
  • Plan and coordinate with Auxiliary Police on deployment plan during events for Our Tampines Hub as per roster.
