Job Summary

We are looking for an experienced and highly organized Operations Manager to oversee the daily operations of our aesthetic clinic. The ideal candidate will be responsible for team performance, patient experience, sales follow-up, clinic organization, stock control, scheduling, and ensuring the clinic operates efficiently and professionally.

Key Responsibilities

• Manage the day-to-day operations of the clinic.
• Supervise receptionists, nurses, doctors, and support staff.
• Monitor staff attendance, schedules, productivity, and performance.
• Ensure appointments and treatment rooms are properly organized.
• Monitor daily leads, bookings, consultations, show-ups, cancellations, and revenue.
• Ensure WhatsApp, Instagram, and patient inquiries are followed up quickly.
• Support the reception and sales team in converting leads into appointments.
• Monitor patient follow-ups, recalls, rebooking, and retention.
• Handle patient complaints professionally and ensure excellent patient experience.
• Monitor clinic inventory, consumables, medical supplies, and stock levels.
• Coordinate purchasing and avoid unnecessary stock shortages or wastage.
• Ensure clinic policies, hygiene standards, and operational procedures are followed.
• Coordinate with doctors and nurses to improve workflow and treatment capacity.
• Prepare daily and weekly management reports.
• Monitor staff targets and clinic KPIs.
• Identify operational problems and implement solutions quickly.
• Support promotions, campaigns, and clinic marketing activities.
• Ensure all departments work together efficiently.

Key KPIs

The Operations Manager will be responsible for monitoring:

• Daily and monthly revenue
• Number of new leads
• Lead-to-booking conversion rate
• Appointment show-up rate
• Consultation-to-treatment conversion
• Patient rebooking and retention
• No-show and cancellation rate
• Staff productivity
• Patient satisfaction
• Stock usage and wastage

Requirements

• Previous experience in clinic, healthcare, beauty, aesthetics, hospitality, or similar operations.
• Strong leadership and team-management skills.
• Strong sales and customer-service mindset.
• Excellent communication and problem-solving abilities.
• Ability to work under pressure and manage multiple departments.
• Good knowledge of scheduling, reporting, inventory, and staff management.
• Experience in an aesthetic or medical clinic is highly preferred.
• Fluent English required; Arabic is an advantage.
• Strong computer and CRM/ERP skills are preferred.

Pay: AED3,370.48 - AED8,000.00 per month
