Job description

The Nature Conservancy is seeking an Operations Program Specialist to support the Legal Corporate Services team with administrative tasks, project coordination, and operational support. The role involves managing executive calendars, coordinating meetings and events, preparing reports, handling budget and financial tasks, and providing high-level administrative support to senior legal leaders. The position requires strong organizational skills, proficiency with MS Office 365 and Workday, and the ability to manage multiple priorities in a dynamic environment.

Overview The Operations Program Specialist will work as part of the Legal Corporate Services team, performing administrative tasks and coordinating special projects. This position may report to multiple attorneys on the assigned team(s) and works towards meeting the strategic priorities of the Corporate Services team by implementing tactics for approved plans and completing day-to-day tasks and activities.

Responsibilities *

  • Maintain, track, and report on key data related to the scope and priorities of the teams, setting realistic deadlines and managing timelines
  • Adapt processes and implement recommended practices to improve effectiveness
  • Support annual budget preparation, organizing team meetings and events, and onboarding/offboarding of staff members
  • Maintain calendars of Associate General Counsel(s) and manage expense reporting
  • Communicate with staff in various programs across the Conservancy and with various stakeholders
  • Collaborate with Corporate Services and other legal teams, senior leaders, and peers
  • Perform diverse and sensitive administrative functions in support of the Corporate Services Associate General Counsel and other legal leaders
  • Provide guidance in satisfying administrative requirements based on extensive knowledge of policies and procedures
  • Manage multiple projects and initiatives simultaneously, establishing realistic timelines, tracking progress, and ensuring accountability for deliverables
  • Conduct non-routine research, analysis, and follow-through on complex assignments
  • Handle sensitive and confidential information with discretion
  • Coordinate recurring meetings, travel, and internal and external events
  • Prepare correspondence, presentations, reports, and briefing materials
  • Support meeting logistics, documentation, and follow-up activities
  • Assist with budget development, financial monitoring and reconciliation, purchasing, invoice processing, vendor management, and operational planning
  • Maintain tracking systems and active work portfolios
  • Ensure compliance with organizational policies and external requirements
  • Serve as a trusted partner in prioritizing work, solving problems, and achieving organizational objectives

Required Qualifications *

  • Bachelor's degree and 2 years of related experience or equivalent combination
  • Experience with MS Office 365 (Word, Excel), Workday, CoPilot, and/or SharePoint
  • Experience coordinating administrative processes
  • Experience generating reports and interpreting data
  • Experience in business writing, editing, and proofreading
  • Experience organizing time and managing diverse activities to meet deadlines
  • Experience working with cross-functional teams and communicating with a wide range of people
  • Experience with business process analysis and/or improvement
  • Strong organizational skills, accuracy, and attention to detail

  • Ability to work a flexible and/or shifted schedule to accommodate differing time zones
  • Demonstrated experience using diplomacy and tact to build strong relationships and motivate staff

Compensation And Benefits The starting pay range for a candidate selected for this position is generally within the range of $50,000.00 to $79,000.00. Actual pay will depend on the candidate's location, qualifications, specific skills, and experience.
