Job description
Document Controller - Responsibilities
-
Maintains an established data distribution system and schedule for the assigned project based upon client, project, and supplier requirements.

Revises system or schedule as required to ensure timely approvals and distribution.
-
Ensures changes to documents are completed in a timely fashion to meet set deadlines.

Coordinates with other parties to ensure document edits are made, reviewed, and proofed according to project specifications.

Tracks and maintains comprehensive records of all documents throughout their lifecycle.

Follows standardized procedures while exercising discretion as needed to complete project objectives.

Maintains and updates the document tracking and production system to ensure accuracy and accessibility.

Prepares and maintains a centralized document control system for all forms of documentation, including drawings, specifications, and correspondence.

Produces and distributes copies of drawings and documents for production teams and company employees.

Verifies that all completed documents have been signed-off by appropriate personnel before distribution.

Distributes copies of documents to designated personnel in accordance with established protocols.

Implements and adheres to company quality assurance program procedures and documentation standards.

Manages document version control and revision history to ensure the most current versions are in use across all departments.

Maintains document archival and retention procedures in compliance with company policy and regulatory requirements.

Provides support and guidance to team members regarding document control procedures and system usage.
Required Qualifications:
-
diploma or equivalent; associate degree in business administration, records management, or related field preferred
-
2+ years of experience in document control, records management, or related administrative role
-
Proficiency with document management systems and database software
-
Strong organizational and time management skills with ability to manage multiple priorities and meet strict deadlines
-
Excellent attention to detail and accuracy in document tracking and distribution
-
Solid understanding of document control procedures, version control, and revision management
-
Knowledge of quality assurance standards and compliance requirements
-
Ability to maintain confidentiality and handle sensitive information appropriately
-
Strong written and verbal communication skills
-
Ability to work collaboratively with cross-functional teams and provide guidance to colleagues
Preferred Qualifications:
-
Bachelor's degree in business administration, information management, or related field
-
Experience with enterprise document management systems (DMS) or similar platforms
-
Familiarity with regulatory compliance requirements and document retention standards
-
Certification in records management or document control
-
Experience in manufacturing, engineering, or construction environments
-
Proficiency with Microsoft Office Suite and database applications
-
Experience implementing and maintaining centralized filing and archival systems
