Your role at a glance The Skilled Human Resources Administrator is responsible for delivering high-quality HR operational support across the employee lifecycle, including employee data management, onboarding, contracts, benefits administration, and HR systems maintenance. This role serves as a key point of contact for employees and managers, ensuring accurate and timely processing of HR transactions, compliance with policies and procedures, and excellent customer service. The position also supports process improvements, manages reporting activities, and partners with HR stakeholders to enhance HR service delivery and operational effectiveness.
What we are looking for Key Roles and Responsibilities: Perform data management tasks which may include personal information, job history, working experiences, dependent information, leaves records, transfers and salary progression. Lead and oversee the HR operations team, providing guidance, mentoring, and support to junior HR staff Ensure accurate and timeous updates of the system for payroll and reports processing. Respond to enquiries from employees, managers and external agencies. Prepare important employee documentation inclusive but not limited to employment contracts and offer letters. Prepare monthly reports. Prepare reports for weekly submission to various owners to ensure that the respective systems are updated with the latest information. Monitor and ensure contracts that are due for renewal are actioned before contract expiration. Manage the on-boarding of new employees. Conduct induction meetings with new employees. Assist the HR business partners with the development of new HR services in a specific area of specialisation. Manage employee benefit queries and when required, escalates queries to the payroll department. Prepare induction training packs for new starters. Provide administrative support during the talent acquisition process. Knowledge, Skills and Attributes: Understands HR policies, procedures, and best practices across various areas such as recruitment, onboarding, benefits administration, employee relations, performance management, and offboarding. Understands labour laws, employment regulations, and compliance requirements to ensure all HR activities adhere to legal standards. Ability to use HRIS systems and other HR-related software for efficient data management, reporting, and analytics. Ability to use change management principles to effectively guide employees through organisational transitions. Ability to analyze HR data to extract insights, trends, and metrics that contribute to strategic decision-making. Leadership: Ability to lead and mentor junior HR staff, providing direction, support, and fostering a collaborative team environment. Strategic Thinking: Ability to contribute to the development and execution of strategic HR initiatives aligned with organisational goals. Communication: Good written and verbal communication skills to effectively convey complex HR concepts to diverse audiences. Problem-Solving: Strong analytical skills to identify HR challenges, propose solutions, and make informed decisions. Project Management: Ability to lead HR projects from inception to completion, managing resources, timelines, and deliverables. Collaboration: Ability to collaborate with cross-functional teams, HR leadership, and external partners to achieve common goals. Data Interpretation: Understanding of HR data, identifying trends, and drawing meaningful insights. Academic Qualifications and Certifications: Diploma in HR Management or similar Required Experience: Some relevant experience in similar human resources positions Some relevant experience as an HR administrative assistant or HR administrator Some relevant administrative support experience Some knowledge of HRIS software and other HR-related software tools
