Job Description:

As a Maintenance and Facility Manager, your primary role is to ensure optimal functioning of our building systems and services, maintaining a safe and effective environment conducive to enhancing productivity.

The Maintenance and Facility Manager will manage and oversee the coordination of building space allocation and layout, communication services, and facility maintenance. The role also involves integrating people, place, process, and technology to ensure improvement and harmony in the facility. 

Key responsibilities:

Strategic Planning and Budget Management: 

Develop and implement facility management standards and processes to ensure efficient operation of all systems. 

Regularly review and revise facility management procedures, policies, and manuals. 

Conduct and oversee regular audits to ensure adherence to health and safety standards, building codes, and compliance with regulatory environments. 

Oversee the facility’s budget, resources, and assets, focusing on maintenance, repairs, renovations, and utility management to optimise cost savings. 

Implement sustainability initiatives aimed at reducing environmental impact. 

Engage in long-term strategic planning, anticipating future needs such as equipment replacement and facility expansion, based on lifecycle analysis and cost-value assessments. 

 

Building Management and Operational Excellence: 

Oversee the maintenance, upgrade, and repair of building infrastructure. 

Manage the planning and execution of space planning, allocation, and facility expansions, including needs analysis and budgeting. 

Ensure that all building systems are operational and efficient, and coordinate renovations as needed to meet changing organisational needs. 

Technology Integration and Data Management: 

Implement and maintain facility management software to optimise building operations and improve reporting and visibility. 

Stay informed on the latest technology trends in facility management and propose new tools and systems to improve building management. 

Ensure technology solutions provide tangible ROI and meet the functional needs of the organisation, enhancing safety and streamlining processes. 

 

Day-to-day Responsibilities: 

Oversee the maintenance and repair of essential equipment including L1 & L2 & SMD machinery, ensuring regular checks and adherence to safety standards. 

Conduct cycle counts for spare parts in the store, create and maintain T-cards for inventory management. 

Manage and track drawing of spare parts and raise T-Cards accordingly. 

Maintain compliance with WSHA regulations, ensuring certification and regular inspection of air receivers and lifting equipment. 

Supervise and coordinate the servicing of forklifts, reach trucks, and pallet trucks, including handling breakdowns and liaising with contracted suppliers. 

Handle all aspects of building maintenance such as lighting systems, roof repairs, shutter doors, air conditioning, plumbing, and sanitation. 

Manage procurement requests (PR) and maintain scheduled preventive maintenance (PM) records, ensuring all activities are aligned with company standards. 

Act as the primary point of contact for external service providers, including those for compound services, water cooler services, and forklift and crane services. 

Address specific issues such as Stock-take and manage administrative tasks like raising PR for 15th JTC tax invoice lease. 

Skills and Qualifications: 

Bachelor’s degree in Facility Management, Engineering, Business Management, or related field. 

Proven experience in facility management with a strong understanding of mechanical systems, building maintenance, and staff leadership. 

Demonstrated ability to integrate technology solutions into facility operations. 

Excellent organisational, communication, and leadership skills. 

Preferred Qualifications: 

Certified Facility Manager (CFM) or equivalent. 

Prior experience in a leadership role within a complex facility management environment. 

Advanced knowledge of regulatory compliance and safety standards.
