Description

Key ResponsibilitiesReceiving Materials

  • Receive materials from suppliers and verify them against Purchase Orders (POs), delivery notes, and invoices.
  • Inspect materials for quantity, quality, and damage before acceptance.
  • Report discrepancies, shortages, or damaged goods to the Procurement Department immediately.
  • Ensure all received materials are properly labeled and documented.
  • Coordinate with Procurement for any rejected or returned items.

Inventory Management

  • Maintain accurate stock levels using the company's inventory management system.
  • Record all stock movements (receipts, issues, transfers, and returns).
  • Monitor minimum and maximum stock levels.
  • Notify Procurement of low-stock or fast-moving items.
  • Conduct regular stock counts and reconcile inventory discrepancies.
  • Participate in monthly and annual inventory audits.

Material Storage

  • Organize warehouse materials in designated locations for easy identification and retrieval.
  • Ensure proper storage conditions to prevent damage or deterioration.
  • Separate project materials from maintenance stock.
  • Maintain proper labeling of shelves, racks, and storage bins.
  • Store hazardous or sensitive materials according to safety requirements.

Material Issuance

  • Issue materials only against approved Material Requisition Forms (MRFs) or authorized requests.
  • Ensure accurate quantity and specification before issuing materials.
  • Record all issued materials in the inventory system.
  • Coordinate material dispatch to project sites and maintenance teams.
  • Obtain acknowledgment signatures for all issued materials.

Warehouse Operations

  • Maintain a clean, organized, and safe warehouse.
  • Ensure proper housekeeping at all times.
  • Arrange materials to maximize storage efficiency.
  • Assist in loading and unloading deliveries.
  • Coordinate transportation of materials when required.

Documentation

  • Maintain records of:
  • Goods Received Notes (GRNs)
  • Material Requisition Forms (MRFs)
  • Delivery Notes
  • Stock Transfer Notes
  • Return Material Notes
  • Inventory Reports
  • Prepare daily, weekly, and monthly stock reports.
  • Maintain filing of supplier documents and warehouse records.

Experience

  • Minimum 2–5 years of experience as a Storekeeper.
  • Experience in Fire Fighting, Fire Alarm, MEP, or Construction companies is highly preferred.
  • Experience using inventory management or ERP systems.
