Position : Operations Coordinator – Facilities Management (FM)
Job Summary
The Operations Coordinator is responsible for managing and coordinating all corrective and preventive maintenance work orders assigned to a designated portfolio of buildings. The role ensures that maintenance requests are dispatched efficiently, technicians are monitored throughout the job lifecycle, service level agreements (SLAs) are achieved, and all work orders are properly documented and closed.
The Operations Coordinator acts as the primary link between the Call Center, Technicians, Engineers, Procurement, and Management to ensure smooth daily operations and high levels of customer satisfaction.
Key Responsibilities
* Receive work orders from the Call Center.
* Review and prioritize maintenance requests based on urgency and SLA.
* Assign work orders to the appropriate technician or team.
* Monitor technician attendance, arrival time, and job progress.
* Follow up continuously until each work order is completed.
* Coordinate with Engineers for technical support on complex maintenance issues.
* Coordinate with Procurement when materials or spare parts are required.
* Verify technician reports, photographs, and job completion details.
* Ensure all work orders are updated accurately in the maintenance management system.
* Prepare daily operational reports and status updates.
* Track pending jobs, repeat complaints, and overdue work orders.
* Escalate critical issues to the Operations Manager immediately.
* Maintain professional communication with internal departments and, where required, with clients.
* Ensure compliance with company procedures and client service level agreements.
Qualifications
* Diploma or Bachelor’s Degree in Mechanical, Electrical, Civil Engineering, Facilities Management, or a related field.
* Minimum 3 years of experience in Facilities Management, Property Management, Maintenance, or Technical Operations.
* Experience in coordinating multiple technicians simultaneously is preferred.
Technical Skills
* Good understanding of HVAC, Electrical, Plumbing, Civil, and General Maintenance.
* Experience using CMMS or Maintenance Management Software.
* Good knowledge of Microsoft Excel, Word, and Outlook.
* Ability to prepare operational reports and analyze work order status.
* Understanding of SLA management and KPI monitoring.
