Job Title: Document Controller
Location: UAE
Experience Required: 2–3 Years (Preferably in Construction / Engineering / Interior Fit-out)
Job Summary
The Document Controller is responsible for managing and maintaining all project documentation in an organized and controlled manner. The role ensures that all technical documents, drawings, and correspondence are properly recorded, distributed, and archived according to company procedures and project requirements. The Document Controller will coordinate with internal teams and external stakeholders to ensure accurate document tracking and timely approvals.
Key Responsibilities
Document Control Management
- Establish and maintain document control procedures in accordance with company policies and project requirements.
- Manage incoming and outgoing correspondence, technical documents, drawings, and submittals.
- Maintain and update document control registers including:
- Drawings Register
- Material Submittals Log
- RFIs (Requests for Information)
- Method Statements
- Transmittals
Document Tracking & Distribution
- Ensure proper version control and distribution of the latest approved documents to relevant stakeholders.
- Prepare and manage document transmittals for submissions to consultants, clients, and subcontractors.
- Monitor submission logs and follow up with concerned teams for pending approvals.
Coordination & Communication
- Coordinate with Project Managers, Engineers, Consultants, Subcontractors, and Clients regarding document submissions and approvals.
- Ensure timely communication and distribution of project documents.
Archiving & Record Management
- Maintain proper electronic and hard copy filing systems for all project documentation.
- Ensure documents are accurately archived for future reference and audit purposes.
Compliance & Reporting
- Support QA/QC documentation processes and ISO compliance requirements where applicable.
- Prepare periodic document control reports and status updates for management.
- Ensure confidentiality and security of sensitive project documents.
Qualifications
- Diploma or Bachelor’s Degree in Business Administration, Engineering, or related field.
Experience
- 2–3 years of experience as a Document Controller in construction, engineering, or interior fit-out projects in the UAE.
Required Skills
- Strong knowledge of document control processes and procedures.
- Experience managing drawings, submittals, RFIs, and project documentation.
- Proficiency in MS Office (Excel, Word, Outlook).
- Familiarity with document management systems (Aconex, EDMS, SharePoint, or similar) is preferred.
- Strong organizational and record-keeping skills.
- Good communication and coordination abilities.
- Ability to handle multiple documents and deadlines efficiently.
Preferred Skills
- Experience working on construction or interior fit-out projects in the UAE.
- Knowledge of QA/QC documentation and ISO standards.
