Description

We are seeking a highly organized and proactive Property Management Administrator with prior UAE Real Estate experience to join our growing team. The ideal candidate will be presentable, possess excellent communication skills, strong attention to detail, and the ability to manage tenant relations, contracts, property documentation, and administrative operations proficiently.

The successful candidate must be confident, well articulated, able to handle tenants firmly when necessary, and capable of working in a fast-paced property management environment.

Property & Tenancy Administration

  • Manage lease renewals, terminations, and tenant compliance with lease terms.
  • Coordinate contract signing and execution, including the collection of required documents and payments.
  • Track lease renewals and terminations and follow up with tenants whose contracts are approaching expiry or are overdue.
  • Maintain accurate digital and physical records of contracts and related documentation.
  • Ensure all tenant documents are valid and up to date.
  • Prepare calculations for early termination, lease extension, and vacate settlements.
  • Check the Rental Index Calculator and current market rates 115 days before the tenancy contract expiration.

Ejari Administration

  • Handle Ejari registration, renewal, and cancellation for tenants.
  • Coordinate with tenants regarding all Ejari-related documentation.
  • Create, renew, and terminate Ejari Management Contracts for property units.

Rent Collection & Financial Coordination

  • Oversee rent collection, monitor delinquencies, and ensure timely payments.
  • Prepare rental cheques for daily bank deposits and upload deposit slips.
  • Update bank reports by allocating rental payments for deposited cheques.
  • Ensure tenants clear all outstanding dues prior to move-out, including pending rent, penalties, and utility bills.
  • Record all property-related expenses.
  • Ensure timely payment of utilities, service charges, and other property-related expenses.

Utilities & Property Coordination

  • Coordinate with landlord and tenant registrations with DEWA, gas, and chiller service providers.
  • Request utility clearance certificates from tenants after move-out.
  • Apply for utilities final bills for sold properties.
  • Forward utility bills to tenants and ensure timely payment.
  • Coordinate with building management regarding service charges and utility details for newly managed units not yet reflected in the system.

Insurance & Documentation

  • Manage property insurance quotations and policy renewals.
  • Maintain organized digital filing systems for clients, properties, contracts, and Power of Attorney (POA) documents.

Tenant & Client Relations

  • Handle email and phone communications.
  • Follow up with clients and tenants regarding pending matters.
  • Address tenant complaints, concerns, and queries in a professional and timely manner.

Requirements

  • Minimum 2-3 years of UAE real estate and property management experience.
  • Highly presentable, well articulated, confident, detail-oriented, and able to manage tenant relationships effectively.
  • Strong knowledge of Ejari processes and tenancy contract administration.
  • Familiarity with DEWA, gas, and chiller registrations and related procedures.
  • Knowledge of Dubai rental regulations and market practices.
  • Excellent verbal and written English communication skills.
  • Strong organizational and time management abilities.
  • Proficient in Microsoft Office applications, particularly Excel.
  • Ability to multitask and work under pressure.

Preferred Qualifications

  • Experience working in a Real Estate Brokerage or Property Management company in Dubai.
  • Experience using property management software or CRM systems.
  • Immediate joiners are preferred.

Pay: AED5,000.00 - AED6,500.00 per month
