Summary
We are seeking a proactive and detail-oriented CRM Operations & Office Administrator to support daily administrative operations while maintaining accurate CRM/ERP data. The ideal candidate will have previous experience within the marine, shipping, offshore, or maritime industry, be highly organized, and possess excellent Microsoft Office skills. This role is ideal for someone who enjoys combining administration, data management, and technology to improve operational efficiency.
Duties & Responsibilities
- Maintain and update accurate information within the company's CRM/ERP system
- Manage daily administrative tasks, business correspondence, and office documentation
- Organize digital records and maintain company filing systems
- Support procurement activities by logging inquiries, tracking purchase orders, and maintaining procurement records
- Assist with preparing reports, administrative summaries, and PowerPoint presentations
- Coordinate internal communications and support operational teams
- Utilize AI tools such as ChatGPT, Microsoft Copilot, and other productivity tools to improve workflow efficiency
- Ensure data accuracy and maintain confidentiality of company information
- Support process improvements and administrative best practices
Requirements
- Minimum 2 years of experience in office administration or operational support
- Previous experience within the marine, shipping, offshore, or maritime industry is mandatory
- Basic understanding of procurement processes and logistics coordination
- Familiarity with shipping operations, marine services, or ship management environments
- Advanced proficiency in Microsoft Office (Word, Excel, and PowerPoint)
- Experience using CRM or ERP systems
- Comfortable using AI productivity tools (e.g., ChatGPT, Microsoft Copilot)
- Highly organized with excellent attention to detail
- Immediate availability preferred
