Your Role in Our Mission
The operational backbone of our hub — making sure the office runs smoothly, new joiners land on Day 1 fully set up, and every team member has the space, supplies, equipment, and travel support they need to do their best work. Partnering with the People team, IT, Finance, and external vendors to keep day-to-day administration accurate, responsive, and seamless.
How You'll Make an Impact
New Joiner Onboarding
- Coordinate end-to-end onboarding for new hires: documentation collection and Day 1 readiness — desk, access card, welcome kit, and orientation logistics.
- Partner with IT to ensure laptops, peripherals, phones, software licenses, and system access are provisioned and tested before the start date.
- Be the friendly first point of contact for new joiners' admin and workplace questions, resolving or routing them quickly.
- Keep onboarding checklists, trackers, and records accurate and up to date.
Office Building & Facility Management
- Keep the office running day to day: front desk, meeting rooms, cleanliness, seating, and general upkeep.
- Liaise with building management on maintenance, access, security, parking, and facility requests or issues.
- Manage facilities vendors (cleaning, maintenance, security, fit-out) — scheduling, quality checks, and coordinating payments with Finance.
- Conduct regular walkthroughs to pre-empt issues and keep the workplace safe, functional, and presentable.
Pantry & Office Supplies
- Own pantry stock — monitor consumption, replenish supplies, and manage relationships with pantry and grocery vendors.
- Maintain stationery and consumables inventory; reorder before stock runs out.
- Track spend against budget and flag anomalies or opportunities to optimise.
Travel & Logistics (Business Trips)
- Arrange business travel for employees — flights, accommodation, ground transport, and itineraries — in line with company travel policy.
- Coordinate travel documentation and visa support for business trips where required.
- Manage bookings, changes, and cancellations; reconcile travel expenses and invoices with Finance.
- Serve as the go-to contact for travel queries and on-trip support.
IT Asset Management
- Maintain the office asset register: issuance, returns, repairs, replacements, and write-offs.
- Partner with IT to track laptops, peripherals, phones, access cards, and licenses across their lifecycle.
- Coordinate asset provisioning for joiners and recovery for leavers; keep records audit-ready.
- Triage and route basic IT and equipment requests, and close the loop with employees.
What You Bring
- 4 years + of experience in HR administration, office administration, facilities, or a combined HR–Admin role — ideally in a fast-paced tech, fintech, or financial services environment.
- Hands-on experience with onboarding coordination, office and vendor management, and travel arrangements.
- Strong organisational skills and attention to detail; comfortable juggling multiple requests and priorities at once.
- A proactive, service-minded approach — you anticipate needs and solve problems before they escalate.
- Comfortable with HRIS and admin tools and spreadsheets (e.g., BambooHR, Workday, Google Workspace, Excel).
- Discretion and reliability in handling sensitive employee information.
