Real Estate Administrator - Dubai Market

We are looking for a detail-oriented Real Estate Administrator to manage property listings and day-to-day administrative operations for our Dubai market. You will be the backbone of our brokerage operations , ensuring every listing is compliant, accurate, and live on time, while supporting our agents with documentation and coordination.
Key Responsibilities

• Create, upload, and manage property listings on major portals (Property Finder, Bayut, Dubizzle) with high-quality descriptions, photos, and accurate details
• Obtain and manage Trakheesi permits for all advertised listings and ensure full compliance with DLD and RERA advertising regulations
• Prepare and process RERA forms (Form A, Form B, Form F/MOU) and maintain organized records of all signed agreements
• Keep the CRM updated with listings, leads, and client records; assign and track leads for agents
• Monitor listing performance, refresh and optimize listings to maintain visibility and quality score
• Coordinate with landlords, agents, and photographers to schedule viewings, photoshoots, and listing updates
• Handle general office administration: documentation, filing, correspondence, and reporting to management
• Track agent commissions, tenancy contracts (Ejari), and transaction paperwork through to completion

Requirements

• 1–3 years of experience in real estate administration in the UAE (Dubai market experience strongly preferred)
• Working knowledge of Trakheesi, DLD/RERA forms, and Dubai listing portals
• Proficiency in CRM systems (e.g., PropSpace, Bitrix24, or similar) and Microsoft Office
• Excellent written English; Arabic is a plus
• Strong organizational skills, attention to detail, and ability to handle multiple listings under deadlines
• Knowledge of Ejari registration process is an advantage
