Key ResponsibilitiesDocument Management & Organization

  • Organize, store, and maintain all project documents including drawings, contracts, specifications, proposals, and correspondence.
  • Maintain clear and well-structured filing systems (digital and physical) for easy access.
  • Ensure proper categorization, indexing, and version control of all documents.

Document Control Process

  • Implement and maintain standard document control procedures across projects.
  • Ensure all documentation follows company standards and project requirements.
  • Continuously improve document flow for better accuracy and efficiency.

Data Entry & Record Keeping

  • Update project data in internal systems and document control databases.
  • Maintain accurate logs of incoming and outgoing documents.
  • Track submissions, approvals, revisions, and document distribution.

Quality & Compliance

  • Review documents for accuracy, completeness, and compliance.
  • Ensure all project documentation meets contractual and regulatory requirements.
  • Monitor deadlines for submissions, approvals, and updates.

Coordination & Communication

  • Coordinate with project managers, engineers, procurement teams, and site staff.
  • Act as the main point of contact for all documentation-related matters.
  • Ensure timely distribution of updated drawings and revisions to relevant teams.

Version Control & Tracking

  • Maintain proper version control of all project documents.
  • Ensure teams always access the latest approved documents.
  • Track revisions, updates, and approval history clearly.
  • Prevent the use of outdated documents across all departments and sites.

Reporting & Administration

  • Prepare reports on document status, pending approvals, and compliance tracking.
  • Support audits and documentation reviews when required.
  • Assist in improving document management systems and processes.

Requirements

  • Proven experience as a Document Controller or in a similar administrative role in construction or landscaping.
  • Strong organizational skills and excellent attention to detail.
  • Proficiency in MS Office (Excel, Word, Outlook) and document control systems.
  • Good communication and coordination skills.
  • Ability to manage multiple tasks and meet deadlines.
  • Ability to work independently and with cross-functional teams.
  • Knowledge of construction documentation processes is an advantage.

Job Type: Full-time

Pay: From AED1.00 per month

Work Location: In person
