The Storekeeper is responsible for the efficient receipt, storage, issuance, and control of materials, tools, equipment, and assets. The role ensures accurate inventory management, proper material handling, timely stock replenishment, and effective coordination with project teams to support uninterrupted project execution.

Key Responsibilities

1. Material Receiving and Inspection

  • Receive incoming materials, tools, and equipment from suppliers.
  • Verify quantities, specifications, and quality against purchase orders and delivery notes.
  • Inspect materials for damages or discrepancies and report non-conformities.
  • Coordinate with procurement and suppliers regarding shortages or damaged items.
  • Ensure proper documentation of all received materials.

2. Inventory Management

  • Maintain accurate inventory records for all materials and consumables.
  • Conduct regular stock counts and cycle counts to ensure inventory accuracy.
  • Monitor inventory movement and update stock records in a timely manner.
  • Ensure stock levels are aligned with project and operational requirements.

3. Material Storage and Preservation

  • Store materials systematically for easy identification and retrieval.
  • Ensure proper handling and preservation of materials to prevent damage, deterioration, or loss.
  • Maintain housekeeping standards within the store and warehouse areas.
  • Implement storage practices in compliance with safety and quality requirements.

4. Material Issuance Control

  • Issue materials, tools, and equipment based on approved requests.
  • Ensure accurate recording of all material issues and returns.
  • Monitor consumption patterns and ensure accountability for issued materials.
  • Coordinate with project teams to support timely material availability.

5. Stock Monitoring and Replenishment

  • Monitor minimum and maximum stock levels.
  • Prepare stock replenishment requests to avoid shortages.
  • Coordinate with procurement for timely replenishment of critical materials.
  • Identify slow-moving, obsolete, or excess inventory and recommend corrective actions.

6. Documentation and Record Keeping

Maintain updated records of:

  • Goods Received Notes (GRNs)
  • Material Issue Notes (MINs)
  • Delivery Notes
  • Stock Registers
  • Material Return Records
  • Asset Registers
  • Inventory Reports
  • Stock Reconciliation Reports

7. Coordination with Project Teams

  • Coordinate with project managers, site engineers, and supervisors regarding material requirements.
  • Ensure timely dispatch and delivery of materials to project sites.
  • Support project planning by providing inventory status and material availability updates.
  • Assist in resolving material-related issues affecting project progress.

8. Material Reconciliation

  • Perform periodic reconciliation of physical stock against system records.
  • Investigate and report inventory discrepancies.
  • Support monthly and project-wise material reconciliation exercises.
  • Assist in preparing inventory audit reports.

9. Asset and Equipment Control

  • Maintain records of company assets, tools, and equipment.
  • Track issuance, return, and utilization of assets.
  • Monitor asset condition and coordinate maintenance requirements.
  • Conduct periodic asset verification and audits.

Qualifications & Experience

  • Diploma or Bachelor's Degree in Logistics, Supply Chain, Business Administration, or a related field.
  • 3–5 years of experience in storekeeping, warehouse management, or inventory control.
  • Experience in construction, interior fit-out, joinery, or manufacturing industries preferred.
  • Proficiency in Microsoft Excel and inventory management systems/ERP software.
  • Strong organizational and record-keeping skills.
