Role summary
The Purchasing Support Executive assists the logistics procurement team in the end-to-end purchasing process — from raising purchase orders and liaising with suppliers to tracking deliveries and maintaining accurate procurement records. This role is integral to ensuring uninterrupted supply of raw materials, spare parts, and logistics consumables for manufacturing operations.
Key responsibilities
Purchase order management
✔ - Prepare, process, and track purchase orders (POs) for logistics consumables, raw materials, and spare parts. Ensure POs are approved and issued in line with company policy.
Supplier coordination
✔ - Communicate with approved vendors and freight suppliers to confirm lead times and follow up on pending deliveries. Maintain an updated supplier database.
Shipment & delivery tracking
✔ - Monitor inbound shipment status; coordinate with warehouse and logistics teams to confirm receipt of goods. Escalate delays and discrepancies to the Purchasing Manager.
Invoice verification & documentation
✔ - Match supplier invoices against POs and goods receipt notes (GRN). Resolve discrepancies and coordinate with the finance team for timely payment processing.
Procurement reporting
✔ - Generate weekly and monthly procurement status reports including PO aging, spend analysis, and supplier performance metrics for management review.
ERP & record maintenance
✔ - Update and maintain procurement records in the ERP system (SAP / Oracle / equivalent). Ensure accurate item codes, pricing, and vendor master data.
Compliance & policy adherence
✔ - Ensure all purchasing activities comply with internal procurement policies, audit requirements, and regulatory standards applicable to the manufacturing sector.
Qualifications
- Bachelor's degree in Supply Chain, Business Administration, or related field
- 1–3 years in purchasing, procurement, or logistics support role
- Experience in a manufacturing environment preferred
- Proficiency in ERP systems (SAP, Oracle, or similar)
- Advanced MS Excel / Google Sheets skills
