About the Position

As our People Ops Intern, you’ll keep the P&O engine running day to day contracts signed, files complete, and questions answered quickly and properly. You’ll support Kieu (People Ops Manager) in Personio (our HRIS), manage documents from creation through archiving, help coordinate monthly payroll updates, and handle formal correspondence with health insurers, the Rentenversicherung, and other authorities. If you like systems, care about getting the details right, and want real exposure to how People Ops works in a fast-scaling consumer brand, you’ll feel at home here.

Responsibilities:

  • People records & documentation

Support in the full document lifecycle for our team create contracts, annexes, and VSOP/ESOP docs via Personio + DocuSign, and make sure every signed document is filed correctly in GDrive and in the employee’s Personio profile. Keep documentation compliant for EU and non EU employees.

  • Payroll & HR data

Support the monthly payroll cycle contract changes, salary adjustments, sick leave, Sonderzahlungen, and hours tracking for Minijob and Werkstudent employees (including checking semester hour limits).

  • External correspondence

Handle incoming P&O mail from health insurers, the Rentenversicherung, and other authorities scan, date stamp and file cleanly, and coordinate with Lohn4All for resolution. Manage formal written comms for remote employees, including physical mailings when needed.

  • Team support

Be the a point of contact for day to day P&O questions run the ticket system, solve what you can, and escalate fast when something needs a senior decision.

About You

  • German + English: You’re confident writing and communicating in both from contracts to formal letters to German authorities.
  • Detail-first: You catch the missing field before a contract goes out. You double-check because it matters.
  • Organised & independent: You can juggle recurring deadlines, prioritise when things stack up, and keep the basics moving without being chased.
  • Discreet & trustworthy: You’ll handle sensitive personal and payroll data every day and treat it with the care it deserves.
  • People Ops / HR admin experience (strong plus): You’ve already supported People Ops processes (e.g., HR admin, employee documentation, or payroll support) and can ramp quickly.
